ELM Utility Services is looking for an Administrative Assistant to join our corporate office in Peoria, Illinois. ELM Utility Services, with over 1500 employees nationwide, provides a variety of services in the utilities industry including underground utility locating, meter services, gas leak survey, pipeline services, and GPS mapping.
In this role, you will provide front desk administrative support by greeting guests, answering and delegating calls with our switchboard phone system, and distribute mail throughout the office. This role also acts as support to the Human Resources Department and will report directly to the VP of HR. The ideal candidate will be able to manage multiple priorities, handle sensitive information with professionalism and confidentiality, and maintain a high level of accuracy in daily work.
Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.
Key Responsibilities
Answer switchboard phone system and delegate calls accordingly
Greet visitors
Receive and sort incoming mail/deliveries and distribute as needed
Maintain and organize personnel files and other HR documentation
Scan and add files into the HR ECM (electronic filing system)
Create active employee files for newly hired team members
Respond to applicant inquiries and delegate to necessary hiring managers, as needed
Data entry while prioritizing accuracy and attention to detail
Various administrative duties as needed
Qualifications
High school diploma or GED required
Previous Administrative and/or Customer Service experience is required
Excellent typing and data entry skills
Strong verbal and written communication skills
High attention to detail and commitment to quality work
Ability to handle confidential information with professionalism and discretion
Proficiency with Microsoft Office, including outlook, word, and excel
