We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! Duties

  • Oversee daily office operations, including supply management, filing systems, and equipment maintenance to ensure an efficient workspace.
  • Greet visitors warmly and professionally at the front desk, providing exceptional customer service and directing inquiries appropriately.
  • Manage multi\-line phone systems with courteous phone etiquette, screening calls, taking messages, and transferring calls accurately.
  • Handle calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace or Microsoft Office.
  • Perform data entry, maintain accurate records, and prepare reports with high attention to detail through proofreading and data verification.
  • Coordinate administrative tasks such as filing, photocopying, scanning documents, and managing correspondence.
  • Support bookkeeping activities using QuickBooks or similar software for basic invoicing and expense tracking.
  • Assist with personal or executive assistant duties as needed, including travel arrangements or special project support.
  • Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Strong computer literacy including data entry, email communication, and document proofreading.
  • Experience working with multi\-line phone systems and providing exceptional customer service via phone or in person.
  • Bilingual abilities are highly desirable to assist diverse clientele and team members.
  • Knowledge of QuickBooks for bookkeeping or basic financial tasks is a plus.
  • Previous experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is also valued.
