Executive Assistant to Partners

We are seeking a highly organized and proactive Executive Assistant to support two Partners at a fast\-paced law firm. This role is responsible for managing complex calendars, coordinating meetings and interviews, and overseeing travel and event logistics, including client dinners, firm events, and holiday gatherings. The Executive Assistant will also support recruiting efforts, prepare professional documents and presentations, handle expense reporting, and assist with bar license renewals. This position requires excellent written communication skills to draft correspondence and internal materials, as well as a high level of discretion in handling confidential information. The ideal candidate is detail\-oriented, adaptable, and brings a positive, solutions\-focused approach, with additional experience in event planning or drafting RFPs considered a plus.

Key Responsibilities

Administrative \& Calendar Management

  • Manage complex, high\-volume calendars for two Partners, including scheduling internal and external meetings, interviews, and calls across multiple time zones
  • Coordinate logistics for meetings (conference rooms, virtual links, agendas, materials)
  • Prioritize and adjust schedules to accommodate shifting deadlines and urgent matters
  • Recruiting \& Talent Coordination

  • Identify, source, and outreach to potential candidates
  • Coordinate interview schedules and serve as the primary point of contact for candidates
  • Maintain candidate tracking and ensure a smooth, professional interview experience
  • Travel \& Event Planning

  • Arrange domestic and international travel, including flights, hotels, and ground transportation
  • Plan and coordinate client events, happy hours, firm dinners, and networking events
  • Research and select venues, restaurants, and vendors aligned with firm standards
  • Organize firm\-wide events such as holiday parties and team gatherings
  • Coordinate photographers and other event\-related services
  • Meeting \& Event Execution

  • Organize and execute in\-person meetings, including multi\-attendee and offsite events
  • Create and distribute invitations, track RSVPs, and manage attendee communications
  • Develop and manage event materials such as agendas, presentations, and signage
  • Coordinate potlucks and internal engagement activities
  • Financial \& Administrative Support

  • Prepare and submit expense reports and reimbursements in a timely and accurate manner
  • Track expenses and assist with budget\-related tasks as needed
  • Compliance \& Professional Support

  • Assist with bar license renewals and ensure compliance with deadlines and requirements
  • Maintain organized records of licenses and related documentation
  • Document Preparation \& Communications

  • Draft, edit, and format legal and business documents, including engagement letters, retainers, and presentations
  • Prepare charts, reports, and internal communications materials
  • Draft professional correspondence on behalf of Partners with a high level of accuracy and tone awareness
  • Internal Communications \& Design

  • Create visually polished internal communications and presentations
  • Design charts, graphics, and materials to support firm initiatives and messaging
  • Confidentiality \& Professionalism

  • Handle highly sensitive and confidential information with discretion
  • Serve as a trusted gatekeeper and liaison for the Partners
  • Core Skills \& Qualifications

  • Experience drafting Requests for Proposals (RFPs)
  • Event planning or hospitality experience
  • Familiarity with legal industry processes and terminology
  • Pay: $70,000\.00 \- $85,000\.00 per year
