WIC Program Assistant (Per Diem up to \~16hrs a week)
Brookside Community Health Center, a licensed health center of Brigham and Women’s Hospital—consistently ranked among the top hospitals in the nation—provides comprehensive, multidisciplinary care including Adult and Pediatric Primary Care, OB/GYN, Family Planning, Dental/Oral Surgery, Nutrition/WIC, and Behavioral Health services.
Brookside is currently seeking a reliable, flexible Per Diem WIC Program Assistant to join our WIC\-Nutrition Department. This role is ideal for someone who can provide coverage based on program needs, including short\-notice availability. The position supports daily front\-desk and administrative operations and is based at our Jamaica Plain, Roslindale, and Brighton locations.
Position Summary
The Per Diem WIC Program Assistant plays a key role in supporting clinic flow, participant services, and administrative functions. Candidates must be dependable, adaptable, and able to work a variable schedule based on staffing needs, including coverage for absences, peak clinic days, and special site coverage.
Key Responsibilities
1\. Reception and Administrative Support
- Answer and appropriately direct phone calls in a timely and professional manner.
- Screen WIC applicants for program eligibility.
- Schedule, reschedule, and manage WIC and nutrition appointments.
- Greet participants and triage to appropriate staff.
- Monitor and manage participant flow in waiting areas.
- Utilize WIC systems and hospital\-based electronic systems efficiently.
- Communicate with participants and staff via platforms such as Microsoft Teams and Google Voice.
- Perform general clerical and administrative duties as needed.
- Follow all WIC policies and procedures for certification and recertification.
- Verify identity, income, residency, and participant category; ensure accurate data entry.
- Educate participants on WIC program benefits, food packages, and usage.
- Provide referrals to MassHealth, SNAP, TAFDC, and other community resources.
- Issue required participant notifications (e.g., missed benefits, certification updates).
- Issue and reissue WIC food and formula benefits as prescribed.
- Maintain security and accountability of WIC card stock and materials.
- Participate in quality assurance and program improvement activities.
- Attend staff meetings and required trainings.
- Assist with supply ordering and reporting as needed.
- Perform other duties to support WIC program operations.
- High school diploma or GED required.
- Prior WIC experience/DPH WIC training required.
- Experience in a healthcare or community\-based setting is preferred.
- Fluency in Spanish required, additionally Portuguese preferred.
- Strong communication, organizational, and interpersonal skills.
- Demonstrated sensitivity to the needs of diverse populations.
- Per diem position with variable hours (up to \~16 hours/week) based on program needs.
- Must be reliable and available to work on short notice, including coverage for staff absences.
- Ability to work at multiple WIC sites (Jamaica Plain, Roslindale, Brighton).
- Flexibility to work during clinic hours, including occasional evenings or weekends as needed.
- Basic Proficiency with all Office Suite.
- Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage more non\-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
- Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e\-mail, memos and letters), and to take complete and accurate messages.
- Managing one's own time and the time of others.
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
