The Department of Physics seeks a team\-oriented individual to coordinate and support departmental events, activities, digital communications, website management, and undergraduate office operations. This position coordinates a broad range of internal and external events and activities in support of the department, including but not limited to undergraduate events, student programs, seminars and colloquia, outreach activities, conferences, lectures, collaborative events, and other departmental initiatives. The incumbent supervises student employees and performs other duties and special projects as assigned.
This role supervises student employees in the undergraduate office, provides administrative and logistical support to the Vice Chair of Undergraduate Studies, and serves as a representative of the department to students, visitors, guests, recruitment candidates, donors, and vendors.
Key responsibilities include coordinating, scheduling, and managing departmental events; initiating and supporting travel arrangements, purchasing, reimbursements, and expense tracking related to events and undergraduate student travel; and coordinating payments and service contracts. The position schedules meetings, secures facilities and virtual platforms (e.g., Zoom and Microsoft Teams), and manages event registration processes, including communication with speakers and attendees.
Additional duties include providing exemplary customer service in response to requests and inquiries; organizing and maintaining departmental records and files; creating announcements and assisting in the development of advertising and marketing materials; and drafting, reviewing, and editing communications, correspondence, reports, and presentations related to events and departmental activities. The position also updates and maintains the department’s website and social media content to ensure accuracy and promote departmental events and initiatives.
Minimum Education Required
High School Diploma or GED
Required Qualifications
- At least two years of relevant administrative or office support experience
- Demonstrated experience coordinating multiple tasks or priorities in a fast\-paced environment
- Strong organizational, communication, and customer service skills
- Experience using standard office software (e.g., Microsoft Word, Excel, Outlook, PowerPoint)
- Bachelor’s degree or equivalent combination of education and experience
- Experience supporting event planning, coordination, or logistics, preferably in an academic environment
- Experience using Workday, Drupal, Student Information Systems (SIS), or similar enterprise systems
- Experience supporting website updates or social media communications in a professional setting
- Experience supporting the preparation of communications, reports, or presentation materials
Desired Qualifications
The pay range for this job profile is $21\.35 \- $27\.88\. The offer for this position will fall within this range based on internal equity, the unit's available budget, and the candidate's qualifications.
