Front\-Line Administrative Support \| DTE Repair \& Towing
Position Overview
This role serves as the first point of contact for incoming calls while supporting dispatch and operations through accurate data entry, message handling, and coordination. The Data Entry/Dispatcher/Receptionist ensures information is captured correctly, entered into the system, and confirmed with the Operations Manager before dispatching drivers or assigning work. The ideal candidate is organized, professional, and able to manage multiple tasks in a fast\-paced environment.
Key ResponsibilitiesReception \& Call Handling
- Answer all incoming calls promptly and professionally
- Gather essential information from callers, including service needs, vehicle details, location, and contact information
- Take clear, detailed messages and route them appropriately
- Maintain a courteous, calm, and professional tone with every interaction
- Enter caller information, service requests, and vehicle details into Towbook or other company systems
- Ensure all required fields are complete and accurate before submitting
- Update ticket statuses, notes, and follow\-up items as directed
- Maintain organized digital and paper records for dispatch, shop, and administrative needs
- Communicate with the Operations Manager to confirm which driver or unit should be dispatched
- Relay accurate information to drivers once dispatch approval is given
- Prioritize calls based on urgency, safety, and operational needs
- Assist with tracking driver availability, job progress, and completion times
- Support the dispatcher during high\-volume periods to maintain workflow efficiency
- Assist with scanning, filing, and organizing daily paperwork
- Provide general office support to management, dispatch, and shop staff
- Maintain confidentiality and follow all company policies regarding data handling
- Keep the front desk and reception area clean, organized, and customer\-ready
- Strong phone communication skills and professional demeanor
- Excellent attention to detail and accuracy in data entry
- Ability to multitask and stay organized in a fast\-paced environment
- Basic computer skills and comfort with office software and dispatch systems
- Dependable, punctual, and able to work collaboratively with the operations team
- Prior experience in dispatch, customer service, or automotive/towing environments is helpful but not required
- Smooth communication between customers, drivers, and management
- Accurate and compliant documentation for dispatch and operations
