Position Overview:
As a Sr Executive Administrative Assistant at Galen College of Nursing, you will provide advanced executive administrative and operational support to C suite and Executive Vice President leaders. Manages complex workflows, executive materials, and high stakes communications while supporting strategic and board level initiatives. Operates with a high degree of autonomy and discretion, serving as a trusted representative of executive leadership and exercising independent judgment on matters with organizational impact.
Key Responsibilities:
- Manage complex executive calendars, travel, and workflow coordination across multiple, competing priorities, with full authority to commit to meeting requests and calendar decisions on behalf of executives without prior approval.
- Serve as executive proxy for operational and coordination decisions in the executive’s absence, exercising final judgment on matters of scheduling, stakeholder access, and communication prioritization.
- Anticipate executive needs and proactively resolve scheduling, logistical, or operational conflicts by independently assessing impact, urgency, and organizational priorities.
- Independently determine appropriate escalation, disclosure, or response for sensitive and confidential communications involving board members, regulators, or external partners, acting on behalf of executive leadership as appropriate.
- Prepare executive\-level reports, dashboards, briefing materials, and presentations that inform leadership decision\-making and strategic discussions.
- Draft, edit, and manage executive correspondence and communications, representing executive leadership in internal and external interactions with professionalism and discretion.
- Coordinate executive, board, and senior leadership meetings, including agenda development, material preparation, and follow\-up actions to ensure accountability and execution.
- Support board and senior leadership meeting preparation and logistics, including managing confidential materials and communications requiring advanced judgment.
- Serve as a central point of coordination between executives, leadership teams, and key internal or external stakeholders to ensure alignment and continuity.
- Collaborate closely with other executive administrative team members to ensure seamless coverage, consistency, and continuity of executive support.
- Where applicable, oversee or guide junior administrative staff, or manage resources and vendor relationships supporting executive operations, within established authority and budget parameters.
- 10\+ years of administrative experience, including at least 5 years supporting senior executives or C suite leaders
- Bachelor’s degree or equivalent combination of education and experience
- Advanced proficiency in Microsoft Office and collaboration tools
- Exceptional writing, organizational, and problem\-solving skills
- Demonstrated ability to exercise independent judgment, manage confidential information, and act with discretion on matters of significant consequence
