The Rend Lake Conservancy District is now accepting applications for an Administrative Assistant at the Rend Lake InterCity Water Plant. General Statement of Work
The Rend Lake Conservancy District is looking for an administrative assistant that would assist the Water/Sewer Manager with a variety of routine and complex clerical work assignments. This person would also provide clerical support to the Water Plant Superintendent, Distribution Superintendent and the RLCD Administrative Office. Specific Duties and Responsibilities:
Performs a wide variety of clerical tasks for the Water / Sewer Department, including the following:
- Answer phone and assist persons seeking information from the Water / Sewer Department.
- Communicate with water customers and ensure that wholesale system emergency contact information is current.
- Prepare reports, perform filing and other information processing assignments.
- Organize, process and file invoices / packing slips using accounting software for manager review.
- Assist Water / Sewer Manager with payroll, scheduling, budget preparation, safety compliance documentation and preparation of water quality reports.
- Provide clerical support for preparation of bid documents, purchase requisitions and legal notices.
- Collaborate with management and Administrative Office staff to ensure timely payment of bills and receipt of wholesale / retail meter reading data.
- Input data, create work orders and run reports within computerized asset maintenance software platform.
- Assist distribution staff in collection / processing of retail water meter readings and cross\-connection surveys.
- Track and maintain inventory of assets, parts and supplies used in Water / Sewer Department.
- Order supplies and provide clerical support for procurement of equipment.
- Drive to water system remote sites and other places to track inventory, deliver documents / packages and purchase supplies / materials.
- Participate in safety and occupational training as required by Water / Sewer Manager.
- Perform other duties and assignments as required by Water / Sewer Manager.
- High school education; and
- One (1\) year previous public sector or utility experience; and
- Two (2\) years previous clerical experience; and
- Associate degree in business administration or equivalent preferred.
- Possess a valid driver’s license.
- Knowledge of office terminology, procedures, and equipment; and
- Knowledge of utility services, operations, and procedures; and
- Knowledge of standard word processing, spreadsheet and e\-mail software; and
- Effective verbal, written and interpersonal communication skills; and
- Excellent organizational skills and attention to detail; and
- Strong analytical and problem\-solving skills; and
- Strong math and computer skills necessary to complete all job functions; and
- Ability to maintain detailed and accurate records;
- Ability to prioritize and manage multiple tasks; and
- Ability to work independently and part of a team; and
- Ability to handle confidential information.
- Normal work is performed in a controlled office environment but may include working in both onsite and offsite industrial settings.
- Work involves moderate exposure to unusual elements, such as dirt, dust, fumes, smoke, heat, cold, unpleasant odors, and/or loud noises.
- Light to moderate physical activity. Requires occasional physical work; lifting, pushing, or pulling required of objects in excess of 30 pounds.
- Must be physically and mentally able to thoroughly complete all tasks in a timely and competent manner.
- Work environment involves some exposure to hazards or physical risks, which require following basic safety precautions.
- Union Classification: Clerical I
- Hourly wage based on union scale: The current union wage is $28\.61/hour. New employees begin at 85% of the scale, with incremental increases to full rate in accordance with the union progression schedule in the CBA
