POSITION OVERVIEW
The Alumni Engagement Manager (AEM) is the primary point of contact between WQW and prior program participants, and leads the continued development, coordination, and execution of WQW’s Alumni Engagement Program. The AEM reports directly to the Director of Warrior Experience (DWE). This role is designed with an 80% focus on alumni engagement and a 20% focus on Built for More cohort management responsibilities in support of Built for More and related program delivery.
This role is responsible for strengthening long\-term relationships with alumni, building engagement systems and communication channels, coordinating alumni participation in WQW initiatives, and helping ensure alumni remain connected to community, growth opportunities, and mission\-aligned support over time.
At the same time, this position must possess the skills and credibility required to operate as a capable Built for More cohort manager when needed. The AEM must be able to facilitate guided discussions, manage cohort communications and scheduling, conduct one\-on\-one participant engagements, detect indications and warnings of crisis or severe need, support in\-person and virtual program delivery, and serve as a trusted extension of the Warrior Experience team.

DUTIES AND RESPONSIBILITIES
Alumni Engagement Leadership (Primary Focus)
- Ensures that the DWE is informed of all actions regarding the Alumni Engagement program.
- Ensures that the DWE has monthly contact with appropriate AAC members, to include the AAC Executive Committee.
- Builds out, manages, and continuously improves the processes, communication channels, events, and engagement structures that support the WQW Alumni Engagement Program, including AAC, regional cohorts, alumni ambassador efforts, continuing education, and other future initiatives.
- Serves as the primary point of contact for WQW alumni and helps sustain meaningful long\-term relationships between alumni and the organization.
- Serves as Project Manager for Regional Experiences, directing cross\-functional planning and execution. Coordinates with alumni hosts, the AAC, vendors, and staff, and partners with the Director of Program Operations to ensure delivery aligned to WQW standards.
- Coordinates alumni participation in WQW programs, events, storytelling efforts, volunteer opportunities, regional activities, and leadership roles within the alumni network.
- Troubleshoots issues related to the alumni experience before, during, and after program completion, and works across departments to resolve them.
- Engages alumni through thoughtful communication across multiple mediums, including email, phone, virtual meetings, cards or letters, social media coordination, and life\-event outreach, as appropriate.
- In close coordination with Marketing and Development, supports ethical storytelling, alumni spotlights, and mission\-aligned communications while maintaining an up\-to\-date list of Warriors and alumni who are willing and approved to support storytelling needs.
- Supports the communications and marketing function by assisting with capturing photos, videos, and stories for key initiatives and campaigns, as needed. Includes newsletters, PODCASTs, and social media as required.
- Monitors and troubleshoots alumni experiences in partner programs, helping ensure WQW’s brand promise is delivered in every case.
- Coordinates strategic partner support and warm handoffs for alumni whose needs fall outside the direct scope of WQW programs.
- Serves as a back\-up facilitator and primary capable cohort manager for virtual and in\-person WQW programs when required. Primary Cohort manager assignments will be assigned by the DWE when required based on overall program requirements.
- Facilitates guided discussions on specified topics to achieve designated outcomes in remote and in\-person settings for both alumni and active participants, as appropriate.
- Enables participants’ clarity regarding WQW expectations for content consumption, activity completion, and virtual session participation in remote settings when supporting cohort operations.
- Reviews participants’ responses and activity inputs, coordinates participation in associated remote virtual sessions, and helps keep cohorts aligned and on track.
- Schedules and conducts virtual meetings and one\-on\-one check\-ins as required, using approved systems and tools.
- Maintains relevant cohort contact lists, trackers, scheduling data, and participation records when supporting cohort management functions.
- Attends in\-person experiences as assigned, both on\-site in Bozeman, Montana and occasionally off\-site, and may serve as Team Leader or Assistant Team Leader for alumni regional events or program operations support.
- Provides relevant participant or alumni information to the appropriate team members before and during experiences to improve the Warrior experience, consistent with privacy guidelines.
- Completes designated facilitator, cohort manager, and crisis response training prior to performing facilitation duties, and completes designated train\-the\-trainer requirements as directed.
- Detects and identifies indications and warnings of current participants or alumni in crisis or severe need, and takes appropriate action in accordance with established procedures.
- Conducts and reviews informal surveys, feedback mechanisms, and available evaluation data to identify intended outcomes, improve quality, and recommend refinements to WQW programming and alumni engagement efforts.
- Attends in\-progress reviews, post\-program reviews, and relevant planning sessions for programs and alumni initiatives.
- Supports the Pathfinder placement process as a subject matter expert when required, including application reviews, interviews, training support, and cohort selection recommendations.
- Represents WQW in speaking engagements, donor events, partner engagements, Board settings, or mission\-related opportunities, as appropriate.
- Assists with WQW podcast efforts as needed, including idea generation, guest recommendations, and occasional co\-hosting, as appropriate.
- Coordinates logistics requirements through the logistics manager and deconflicts Warrior and alumni requirements with program team support, as needed.
- Performs work outside normal office hours when required due to the distributed nature of the participant population, including occasional evenings, early mornings, weekends, and limited travel.

- Ability to detect indications and warnings of crisis or severe need and respond in accordance with organizational procedures.

- Successful completion of a WQW Built for More program.

- Salary is $73,000 \- $76,000, depending on qualifications and experience

ADDITIONAL POSITION NOTE
The significance of trust and connection between WQW and its participants and alumni cannot be overstated, and this position requires frequent direct interaction with both in a variety of settings. Because this is an alumni\-focused role that must also be capable of cohort management, the interpersonal, facilitation, and judgment skills required for this position are especially important. During the mandatory initial 6\-month probation period, Program Team leadership may conduct systematic validation and refinement of these skills through direct observation, feedback, and remediation as required.
