Position Description
The Wellness Arts Assistant provides administrative and program support to the Wellness Arts Department in delivering engaging, well\-organized experiences for residents. This role supports programming aligned with the Dimensions of Wellness, including assistance with events, fitness programming, and resident engagement. The Assistant contributes to departmental organization and efficiency by supporting multiple programs and activities concurrently while ensuring a high level of service and responsiveness.

- Reports to Wellness Arts Manager.
- Supports volunteers and collaborates with team members across departments.
- Frequent standing, walking, bending, and lifting.
- Ability to lift and move program supplies as needed.

- High school diploma or equivalent required.
- Two (2\) years of administrative, program, or customer\-facing experience preferred.
- Experience working with older adults or in a community setting is preferred.
- Proficiency in Microsoft Office (Word, Outlook, Excel); basic Excel skills preferred.
- Experience with Canva or similar design tools preferred.
- Familiarity with scheduling systems, community portals, and data entry.
- Valid driver’s license with approved driving record; ability to operate company vehicles.
- Flexibility to work occasional evenings or weekends for events.
- Successful completion of background check, drug screening, and reference verification.
Duties and Responsibilities
Assists with volunteer recruitment, onboarding, communication, scheduling, and record\-keeping, both internally and externally.
Assist with transportation coordination by ensuring outings are well\-prepared with clear details and communication, including coordinating schedules, communicating effectively with drivers and residents regarding expectations, trip details, and participation, and maintaining transportation records, safety sheets, logs, and vehicle and driver calendars to ensure accurate and efficient scheduling.
Support Wellness Center operations.
Assist with class coordination, attendance tracking, and participant support.
Provide on\-site logistical support to ensure smooth and successful program execution.
Assist with scheduling, room reservations, and maintaining departmental calendars.Maintain organized digital files, spreadsheets, and program materials.Assist with program communication through community systems, printed materials, and resident reminders.Provide welcoming, professional support to residents and encourage participation in programs and events.Provide coverage for programs and events, including occasional evenings and weekends as assigned.Perform any other duties and/or tasks as assigned by the Wellness Arts Manager.
