Job Overview

We are seeking a highly organized and professional Secretary to provide comprehensive administrative support within our office environment. The ideal candidate will possess excellent communication skills, proficiency in office management tools, and the ability to handle multiple tasks efficiently. This role is essential in ensuring smooth daily operations, maintaining effective communication channels, and supporting management and staff with clerical duties.

Duties

  • Handle incoming correspondence, emails, and phone inquiries with professional phone etiquette
  • Schedule appointments, meetings, and calendar management using Google Workspace and Microsoft Office tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management activities such as supply ordering, inventory tracking, and maintaining office supplies
  • Provide customer support and client communication, ensuring high levels of customer service and support
  • Maintain confidentiality of sensitive information while managing administrative tasks efficiently
  • Experience

  • Prior office management or administrative experience preferred, including clerical roles or personal assistant positions
  • Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry systems
  • Experience working at the front desk or as a receptionist is advantageous
  • Strong organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Excellent written and verbal communication skills with attention to detail for proofreading and document accuracy
  • Bilingual proficiency is desirable to serve diverse client needs effectively
  • Proven ability to manage calendars, handle multi\-line phone systems, and demonstrate exceptional customer service skills
