Primary Duties and Responsibilities:

The Administrative \& Graphic Design Assistant provides administrative and creative support to the Office of the President. Under general supervision, this position assists with the preparation of visual and written materials, such as presentations, reports, and publications and performs administrative and organizational duties. The role supports the day\-to\-day communication and operational needs of the President's office, with emphasis on task execution, coordination and professionalism.

  • Assist in the preparation and formatting of the official college visual materials (digital and print) for use by the President's Office, including presentations, reports, meeting handouts, and event materials.
  • Apply existing templates and brand guidelines to ensure consistency in visual materials.
  • Create basic infographics, charts, tables and layouts to visually represent institutional data or initiatives.
  • Assist with the preparation of multimedia content for internal and external presentations.
  • Coordinate with Marketing \& Communications staff to align creative work with institutional messaging.
  • Perform general clerical duties including word processing, data entry, and document preparation.
  • Maintain electronic and physical filing systems according to established procedures. Assist with meeting logistics, including scheduling, preparing materials and coordination.
  • Prepare correspondence, memos, and forms using established formats and templates.
  • Track incoming requests for design or document assistance and manage project timelines.
  • Work closely with the President's executive staff to understand design and communication needs.
  • Communicate with other departments to gather information or materials needed for projects in a timely manner.
  • Handle sensitive and confidential information with discretion and professionalism and in accordance with college policies.
  • Other related duties as assigned.
  • Qualifications:

  • Education
  • + High school diploma or equivalent required.

    + Associate degree in Graphic Design, Business Administration, Communications, or a related field preferred.

  • Experience
  • + Minimum of two (2\) years of experience in administrative or office support required.

    + Experience assisting with document preparation, presentations, publications, or basic design tasks required.

    + Proficiency with Microsoft Office (Word, PowerPoint, Excel, Outlook) required.

    + Familiarity with design or layout tools (e.g., Canva, Adobe or similar platforms).

    + Strong organizational skills, attention to detail, ability to manage routine tasks and meet deadlines with guidance.

    + Effective written and verbal communication skills.

    Working Conditions:

  • Standard office environment with extended periods of computer use.
  • Requires sitting for extended hours in front of a computer display with mouse, which can result in eye/muscle strain and/or carpal tunnel syndrome.

Part\-Time Work Schedule: 20 hours; Monday\-Thursday flexibility with schedule

Hiring Range:

6 Hourly/Starting salary beginning at $20\.14/hourly based on education and experience.
