Title: Albuquerque Artistic Administrative Assistant

Purpose of Artistic Administrative Assistant Role:
The Albuquerque Artistic Administrative Assistant is responsible for administering certain aspects of NDI New Mexico’s artistic programs. The Albuquerque Artistic Administrative Assistant is responsible to the Manager of Arts Administration for carrying out the mission and the policies of NDI New Mexico with excellence and is a member of the organization’s Albuquerque Artistic Administrative Staff.
Primary Responsibilities:
Albuquerque Outreach Administration
- With direction and guidance from Albuquerque Assistant Artistic Director, supports administrative duties as needed for all Albuquerque 15 Week In\-School Outreach programs and associated events and activities, including, but not limited to: organizing materials for school meetings, nametag making and consent form processing
- With direction and guidance from Albuquerque Outreach Artistic Director and Producer, supports administrative duties as needed for all Albuquerque Summer Institute and associated events and activities, including, but not limited to: organizing materials for meetings, registration, student account management, payment processing, attendance, and maintenance of records.
- Other administrative duties associated with Albuquerque Outreach programs as needed
- Responsible for organization and upkeep of the organizational document paper archive and communicating document retention policy to staff as needed
- Assist with data entry of organizational surveys and adhere to all confidentiality policies
- Assist with data collection for program data documentation and demographics
- Supports artistic projects with administrative duties as needed for all programs and associated events and activities
- Other administrative duties as needed
- Maintains regular office hours as requested by the Manager of Arts Administration
- Utilizes and maintains standardized procedures, forms, and templates
- Attends all staff meetings and joint staff meetings as scheduled
- Upholds all Management and HR policies and procedures
- Other duties as needed
- Functions performed in\-person in the office at the Hiland Theater in Albuquerque; Not eligible for remote work
- Requires reliable transportation and reimbursable in\-state travel to NDI New Mexico locations, participating schools, residency sites, and community events
- Possible weekend and evening hours
- Required to lift up to 25 lbs.
- Required to navigate stairs
- Excellent computer skills required in MS Office Suite
- Ability to learn quickly on the job in database
- Excellent customer service skills and ability to remain calm under pressure
- Solves problems by identifying causes, gathering and processing relevant information, generating possible solutions, making recommendations, and resolving problems
- Requires 1\-3 years in job related duties
- Bi\-lingual (Spanish) preferred
