Job Summary

We are seeking a dynamic and highly organized Executive Assistant to join our team! Responsibilities

  • Provide comprehensive executive administrative support, including calendar management using Microsoft Outlook Calendar and Google Workspace tools, ensuring all appointments, meetings, and deadlines are accurately scheduled and prioritized.
  • Coordinate complex project workflows and assist with project documentation, tracking progress, and following up on action items to ensure timely completion.
  • Manage travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries for executives.
  • Handle correspondence via email, phone calls, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette and customer service skills.
  • Organize meetings by preparing agendas, taking detailed minutes or transcriptions as needed, proofreading documents for accuracy, and distributing materials in advance.
  • Oversee office management duties such as filing systems (both digital and physical), data entry, bookkeeping using QuickBooks or similar software, and maintaining office supplies inventory.
  • Support personal assistant responsibilities when required by managing personal appointments or errands to ensure executives’ personal and professional lives run smoothly.
  • Requirements

  • Proven experience as an executive assistant or in a similar administrative role with at least two years of office management or clerical experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
  • Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment; experience with project coordination is highly valued.
  • Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times.
  • Exceptional typing speed and accuracy for transcription, data entry, proofreading, and document preparation tasks.
  • Knowledge of office equipment such as multi\-line phone systems and front desk procedures; experience with DocuSign for electronic signatures is a plus.
  • Strong communication skills with polished phone etiquette and customer service orientation.
  • Ability to adapt quickly to changing priorities while maintaining attention to detail; familiarity with office software like QuickBooks for bookkeeping is advantageous.
