Job Summary

We are seeking a dynamic and detail\-oriented Client Intake \& Care Coordination Manager to oversee the intake process and coordinate comprehensive care plans for our clients. The ideal candidate will possess strong organizational skills, medical administrative expertise, and a passion for delivering exceptional patient service. This role involves managing client interactions from initial contact through ongoing care coordination, ensuring seamless communication between patients, providers, and insurance entities.

Duties

  • Manage the client intake process, including scheduling appointments, verifying insurance coverage, and collecting necessary documentation.
  • Review medical records and documentation to ensure accuracy and completeness in accordance with HIPAA regulations.
  • Coordinate care plans by collaborating with occupational therapists, medical providers, and insurance companies to facilitate efficient treatment delivery.
  • Utilize EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks to document patient information accurately.
  • Conduct insurance verification and billing procedures, including medical collection efforts and CPT coding for billing purposes.
  • Maintain excellent phone etiquette while managing multi\-line phone systems for scheduling and patient inquiries.
  • Support clinic operations by managing medical records filing, appointment scheduling, and front desk duties using software like Dentrix or Eaglesoft.
  • Ensure compliance with healthcare regulations such as HIPAA and ICD coding standards (ICD\-9/10\) during documentation review and data entry.
  • Qualifications

  • Proven experience in medical office management or healthcare administrative support within a clinical or dental setting.
  • Strong knowledge of EMR systems including Epic, Meditech, Athenahealth, or similar platforms; familiarity with dental software like Eaglesoft or Dentrix is a plus.
  • Experience with medical billing, insurance verification, CPT coding, ICD coding (ICD\-9/10\), and Medicare procedures.
  • Excellent organizational skills with attention to detail in documentation review and care coordination processes.
  • Bilingual abilities are preferred to serve diverse patient populations effectively.
  • Knowledge of HIPAA compliance standards and health information management practices.
  • Demonstrated customer service skills with professional phone etiquette and clerical experience in a healthcare environment.
  • Proficiency in Microsoft Office Suite (Word, Excel) along with basic computer skills necessary for efficient office management.
