  • This is an exciting opportunity for an extremely energetic individual that is highly organized, with excellent PR and Customer Relation Skills. This position is for an Executive Personal Assistant to support the President overseeing multiple companies (construction/e\-commerce/medical/supplements). This dynamic role requires a motivated individual who thrives in a fast\-paced environment, excels at multitasking, and demonstrates exceptional administrative skills and use of multiple administrative apps (email, scheduling, slack/teams, WhatsApp, SMS, excel,), As the key right\-hand person, you will manage complex calendars, coordinate projects, handle correspondence, and provide comprehensive administrative support to ensure seamless daily operations across diverse business interests. Must be detail oriented and have an energetic approach to all tasks, with an attention to detail that will empower the President to focus on strategic growth while you handle essential behind\-the\-scenes tasks. Must be able to travel short distances for site visits, events and errands as needed. Some early mornings, evenings (handle numerous phone calls (40\-140\) (20\-40 ) emails, (100\-200\) messages across 4\+ communication platforms, and be available for some event coverage as scheduled by President. This is a hybrid role blending executive support, operational coordination, client\-facing duties, as well as personal assistant responsibilities. There is a company vehicle included, driver must have a clean driving record.   • Responsibilities

  • Manage and maintain the President’s busy multi\-company calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently.
  • Provide executive administrative support including drafting correspondence, proofreading documents, transcribing notes, and preparing reports with accuracy and professionalism. Triage, respond to and draft replies for high volume calls texts, emails ad messages, prioritize urgent items and escalate only the critical.
  • Coordinate projects across construction and e\-commerce divisions by tracking deadlines, organizing meetings, ordering materials and ensuring timely completion of tasks through effective project management tools.
  • Handle all office management duties such as filing, data entry, some bookkeeping/data entry (possibly within Contractor Foreman), and aiding with maintaining organized records for multiple entities.
  • Oversee communication channels including multi\-line phone systems and front desk duties with professional phone etiquette to ensure excellent customer service for clients, vendors, and visitors.
  • Assist with event planning for company functions, client networking functions or meetings by coordinating logistics, managing invitations, and preparing materials to ensure successful execution.
  • Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and DocuSign for document signing processes.
  • Ability to learn new programs as they are implemented within these fast growing businesses.
  • Experience

  • 2\-5 Years Proven experience as an executive personal assistant or in a similar administrative role supporting high\-level executives in multi\-company environments, (e\-commerce a strong plus).
  • Demonstrated proficiency in office management tasks such as filing systems, data entry, clerical work, bookkeeping (QuickBooks preferred), and transcription.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced setting while maintaining attention to detail.
  • Excellent communication skills with professional phone etiquette, and ability to handle high\-volume communications without "dropping the ball", as well as excepttional customer service experience.
  • Skilled in project coordination with a track record of managing multiple deadlines simultaneously (Asana, Trello, CRM) experience a plus.
  • Computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, Office experience including front desk responsibilities.
  • Familiarity with multi\-line phone systems, calendar management tools like Microsoft Outlook Calendar, sales CRM and electronic signature platforms such as DocuSign is highly desirable.

    Pay: $45,000\.00 \- $65,000\.00 per year
