Job Summary

We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our leadership team. Duties

  • Manage and maintain executive calendars using Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Prepare, proofread, and transcribe documents, reports, presentations, and correspondence to ensure accuracy and professionalism.
  • Handle incoming calls with excellent phone etiquette, screen messages, and direct inquiries appropriately across multi\-line phone systems.
  • Organize meetings by preparing agendas, taking minutes, distributing materials, and following up on action items to ensure timely completion.
  • Oversee office management tasks such as filing systems (physical and digital), data entry, and maintaining office supplies inventory.
  • Support project coordination efforts by tracking deadlines, managing documentation via DocuSign for approvals, and collaborating with team members to meet objectives.
  • Provide personal assistant support as needed by managing confidential information discreetly and efficiently handling personal errands or requests.
  • Requirements

  • Proven experience as an executive assistant or in a similar administrative role with at least two years of office experience.
  • Strong proficiency in Google Workspace applications (Gmail, Drive, Slides), and data entry tools.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Demonstrated experience in event planning, project coordination, and office management.
  • Exceptional communication skills with professional phone etiquette and proofreading abilities.
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
  • High level of computer literacy combined with strong organizational skills; experience in clerical work including filing and customer service is essential.
  • A proactive approach with the ability to anticipate needs and solve problems independently while working collaboratively within a team environment.

Pay: $48,899\.58 \- $60,000\.00 per year
