Job Summary
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our leadership team. Duties
- Manage and maintain executive calendars using Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Prepare, proofread, and transcribe documents, reports, presentations, and correspondence to ensure accuracy and professionalism.
- Handle incoming calls with excellent phone etiquette, screen messages, and direct inquiries appropriately across multi\-line phone systems.
- Organize meetings by preparing agendas, taking minutes, distributing materials, and following up on action items to ensure timely completion.
- Oversee office management tasks such as filing systems (physical and digital), data entry, and maintaining office supplies inventory.
- Support project coordination efforts by tracking deadlines, managing documentation via DocuSign for approvals, and collaborating with team members to meet objectives.
- Provide personal assistant support as needed by managing confidential information discreetly and efficiently handling personal errands or requests.
- Proven experience as an executive assistant or in a similar administrative role with at least two years of office experience.
- Strong proficiency in Google Workspace applications (Gmail, Drive, Slides), and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Demonstrated experience in event planning, project coordination, and office management.
- Exceptional communication skills with professional phone etiquette and proofreading abilities.
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
- High level of computer literacy combined with strong organizational skills; experience in clerical work including filing and customer service is essential.
- A proactive approach with the ability to anticipate needs and solve problems independently while working collaboratively within a team environment.
