OVERVIEWThis role provides senior\-level administrative and operational support to executives and their teams within a fast\-paced corporate environment. The position plays a key role in ensuring day\-to\-day operations run smoothly, supporting planning, reporting, coordination, and internal communications. It also contributes to process improvements and helps maintain strong organization across business activities.
Rate: $32/hour
Hybrid: Mon\-Thurs onsite, Fri remote
12 month contract (could extend or convert to FTE)
Location: NYC
RESPONSIBILITIES
- Provide high\-level administrative support to one or more senior leaders and their teams
- Manage complex calendars, schedule meetings, and coordinate logistics (rooms, materials, attendees)
- Plan and coordinate team events, meetings, and departmental initiatives
- Prepare, format, and distribute reports, presentations, and internal communications
- Track budgets, process invoices/expenses, and monitor spend against targets
- Coordinate travel arrangements including flights, hotels, and itineraries
- Maintain organized filing systems and ensure documentation is easily accessible
- Liaise with internal teams and external vendors to support operations and office needs
- Support onboarding/offboarding logistics, office moves, and workspace coordination
- Maintain inventory of office supplies and coordinate orders as needed
- Track team availability, including vacations, absences, and overtime
- Assist with training coordination (scheduling, bookings, confirmations)
- Use reporting tools and trackers to manage data and improve processes
- Identify opportunities to improve workflows and administrative efficiency
- Provide guidance or mentorship to junior administrative staff
- 5–7 years of experience in an executive assistant or senior administrative support role
- Experience supporting senior leaders in a fast\-paced, corporate environment
- Strong written and verbal communication skills
- Highly organized with strong attention to detail and ability to multitask
- Strong problem\-solving and analytical thinking skills
- Proven ability to manage priorities and work independently
- Comfortable working with reporting tools, spreadsheets, and administrative systems
- Post\-secondary education or equivalent experience preferred
