Overview
We’re looking for a sharp, organized, and proactive Administrative Assistant to help keep things running smoothly day to day.
This is a hands\-on role where you’ll support the founder, help streamline operations, and make a real impact on how the office functions. You’ll wear a lot of hats—no two days are the same—and your work will directly contribute to keeping the team efficient and on track.
We’re a small, specialized accounting firm with a global team, and this role is based out of our Woodland Hills office.
If you’re detail\-oriented, quick to learn, and a strong communicator who enjoys taking initiative, we’d love to meet you. This is a great opportunity for junior or senior college students studying business, marketing, or administration who want real\-world experience .
Must be available to work at least 2 full days in the office per week.
Duties
- Client Onboarding
- Maintain and update project templates in Karbon HQ
- Maintain and update work items, contacts and system set\-up in Karbon HQ, work with Karbon support to learn how to use the system most efficiently.
- Keep track of ongoing engagements and one\-time projects
- Research how to improve and make client communication more efficient and streamlined.
- Assist in keeping track of our IT stack, communicating with our IT company when necessary.
- Assist with calendar management
- Support light bookkeeping activities including invoicing, expense tracking, and basic QuickBooks entries for the company.
- Provide customer service support by addressing inquiries promptly and professionally, whether in person or via phone or email
- Attend networking events about 3\-4 times a year, help setting up booth and represent the company.
- Order marketing supplies, making sure we are ready if exhibiting.
- Feel comfortable in a remote environment with zoom/Teams calls and prompt communication
- Some light posting on social media.
- Assisting founder with various tasks
- Willing to learn our systems and processes
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
- Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook).
- Experience in using Karbon HQ for practice management is a big plus.
- Exceptional customer service skills coupled with professional phone etiquette and communication abilities
- Comfortable communicating virtually with our offshore team, attend and lead our weekly Teams meeting
- Experience with office management tasks including calendar management and supply coordination
- Knowledge of QuickBooks for bookkeeping purposes is highly desirable
- Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
