Innovation Property Management, Inc we are looking for a dynamic, highly organized, and energetic Administrative Support Assistant to join our team. Duties
- Greet visitors at the front desk with warmth and professionalism, ensuring they feel welcomed and assisted right away
- Manage multi\-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette
- Perform accurate data entry and maintain up\-to\-date records using Microsoft Office, Google Workspace, and other office tools
- Organize and file documents systematically while maintaining confidentiality of sensitive information
- Support basic bookkeeping tasks, including invoicing, expense tracking, and simple entries in QuickBooks
- Manage calendars, schedule appointments, and coordinate meetings for team members and executives
- Deliver outstanding customer service by responding to client inquiries quickly and courteously
- Proofread correspondence, reports, and other documents to ensure clarity, accuracy, and a professional tone
- Proven office experience with a solid background in clerical and administrative support roles
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Hands\-on experience with multi\-line phone systems and professional phone etiquette in a busy environment
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Prior experience as a receptionist, particularly in a medical or dental setting, is a strong plus
- Knowledge of bookkeeping practices and familiarity with QuickBooks or similar software is advantageous
- Demonstrated ability to manage time efficiently, prioritize tasks, and maintain high accuracy in data entry and proofreading
