About the Role

The part\-time Administrative Assistant plays a vital role in supporting the day\-to\-day operations of Archipelago. This position serves as the primary administrative support, ensuring smooth office operations, accurate document management, and exceptional client service. The ideal candidate is highly organized, detail\-oriented, and comfortable working in a professional business environment.

Must be able to commute to downtown San Diego and work in the office 4\-5 days a week for about 15 hours a week (ideally 10am\- 1pm). Bilingual with Spanish preferred.

Responsibilities

The following reflects the essential duties for this job and does not restrict the tasks that may be assigned. Management may assign or reassign the responsibilities of this job at any time.

  • Provide administrative support to the CEO, including calendar management, client correspondence, and document preparation
  • Manage incoming calls, emails, and correspondence; route or respond as appropriate Prepare, proofread, and format documents, reports, and client communications
  • Track deadlines and ensure projects and filings move forward on time
  • Assist with data entry as needed
  • Coordinate meetings, tasks, and action items
  • Prepare, organize, scan, and maintain client files and confidential financial documents in accordance with company procedures
  • Ensure compliance with company policies, confidentiality requirements, and professional standards
  • Provide general administrative and clerical support as needed
  • Requirements

  • High school diploma or equivalent required; associate’s degree or higher preferred
  • Minimum of two years of administrative or office support experience
  • Experience working in a financial services environment preferred
  • Bilingual with Spanish
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and document management systems
  • Experience with Salesforce is a plus
