The Executive Assistant provides confidential executive and operational support to the Governor and senior advisors, enabling effective leadership and management of state agencies, boards, and commissions. This role is integral to coordinating internal and external communications, supporting policy initiatives, and facilitating the implementation of the Governor’s priorities, work that affects Oregonians statewide.Duties and Responsibilities:Administrative Duties \- 40%
- Uphold the Governor’s Office mission, values, and purpose while supporting advisors in policy development and commitments.
- Improve advisor workplace effectiveness by adapting to personal work styles and channeling priorities to meet objectives.
- Manage multiple calendars and complex scheduling in Microsoft Outlook; schedule/moderate in‑person and virtual meetings (including webinars and breakout rooms).
- Provide service orientation and logistics management; act as a liaison for matters of importance on behalf of the advisor.
- Represent the Governor’s Office at meetings with internal and external stakeholders (Cabinets, task forces, councils).
- Conduct research and analysis on statewide issues; prepare findings and recommendations to inform policy discussions.
- Coordinate agendas, documentation, and logistics for policy‑related meetings; anticipate needs so materials are available.
- Track and organize action items to ensure accountability and timely follow‑up.
- Support initiative execution by coordinating resources and monitoring progress; maintain records of outcomes and correspondence aligned to the Governor’s priorities.
- Facilitate information flow between the Governor’s Office, state agencies, boards/commissions, the Legislature, and external stakeholders.
- Review incoming communications; respond or escalate issues appropriately to ensure timely resolution.
- Provide concise summaries and context for escalated issues to equip policy staff with actionable information.
- Draft, edit, and finalize correspondence, reports, and presentations that reflect strategic priorities.
- Represent the Governor’s Office in public, stakeholder, and legislative interactions, ensuring consistent messaging.
- Collaborate with communications staff to ensure accurate, timely website content; post updated materials online.
- Prepare weekly policy area report summaries for the Governor; compile into cohesive final formats for timely submission.
- Evaluate and research requests from policy staff; prioritize needs to align with the Governor’s priorities.
- Provide recommendations on state services and policy issues to support decision‑making.
- Monitor and track legislative bills in assigned policy areas; compile information on proposals for policy staff.
- Prepare materials and support drafting of testimony/communications for the Legislature; track hearings, schedules, and bill status.
- Manage the process for timely policy advisor review of enrolled bills; provide background and supporting materials for gubernatorial action.
- Coordinate with executive appointments staff on boards/commissions vacancies and term expirations; serve as liaison to agency board administrators.
- Perform special projects and other duties as assigned.
- Any equivalent combination of education and experience that demonstrates the knowledge and skills to perform the role.
- Experience working in federal, state, or local government.
- Excellent oral and written communication with diverse communities, including those most impacted by structural forms of oppression, policymakers, agency leaders, and advocates.
- Demonstrated ability to apply rules, policies, and procedures to complex situations with discretion and confidentiality.
- Strong organizational skills with proven capacity to manage complex details, coordinate logistics, and anticipate needs.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and related business tools.
- Skill in research, analysis, and presenting reports and recommendations.
- Knowledge of organizational research and analysis methods.
- Relationship‑building skills that support collaborative problem‑solving, shared objectives, and responsive service.
