Summary:

The HR Administrative Assistant I is responsible for various types of clerical, administrative, scheduling and filling assistance. This role serves as a key point of contact for employees and supports HR operations including onboarding, benefits administration, and compliance.

Duties \& Responsibilities:

  • Control the Front Desk of the HR Office, ensure all employees, visitors, clients or vendors are signed in and seen by staff,
  • Provides broad office support to the HR Department,
  • Ensure accuracy and compliance with personnel files both electronic and hardcopy,
  • Process employment changes including new hires, terminations, and payroll status updates,
  • Assist with conducting employee orientation of all new hires,
  • Fills in at the main reception desk as relief when needed,
  • Assists walk\-in employees and applicants with questions and paperwork,
  • Responsible for maintaining department files and keeping them up to date and in order,
  • Create personnel files for new employees,
  • Identify opportunities for continuous improvement,
  • Safeguards Personal Identification Information (PII) against loss, destruction, or unauthorized use,
  • Other duties as assigned.
  • Job Requirements:

  • Must have 1 to 3 year of HR or administrative experience required,
  • Must be bilingual ability to read, write, and speak Fluently in English and Spanish,
  • Customer service\-oriented mindset,
  • Experience in a fast\-paced or multi\-site environment preferred,
  • Have solid computer skills and advanced experience using the Microsoft Office Suite – Word, Excel, and PowerPoint,
  • Must possess organizational skills to ensure appointments and responses to requests are timely,
  • Excellent organizational and time management skills,
  • Ability to manage multiple priorities and meet deadlines,
  • Strong written and verbal communication skills,
  • Knowledge of HR process and best practices,
  • Requires high levels of discretion, professionalism, and the ability to handle confidential information,
  • Must be able to successfully pass a background and drug \& alcohol screening.
  • Working Conditions:

  • Prolonged periods sitting at a desk and working on a computer,
  • Finger dexterity for extensive amounts of typing,
  • Must be able to lift up to 10 pounds at a time,
  • This job requires the ability to see, whether naturally or with vision correction to tools (glasses, contacts),
  • Climbing stairs daily to get to workstation.

Note: This is an on\-site position and requires the ability to work in the office during standard business hours. Remote or hybrid arrangements are not available for this role.
