Responsibilities
- Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Oversee office operations, including supply management, filing systems, front desk duties, and maintaining a professional environment.
- Coordinate projects and events from planning through execution, ensuring deadlines are met and resources are allocated effectively.
- Manage correspondence via email, phone calls, and written communication with professionalism and courtesy, utilizing phone etiquette best practices.
- Handle bookkeeping tasks such as invoicing, data entry, QuickBooks management, and basic bookkeeping to ensure accurate financial records.
- Prepare reports, proofread documents, transcribe meetings or notes, and perform data entry with precision using Microsoft Office Suite and other relevant software.
- Support personal assistant duties as needed, including travel arrangements, personal errands coordination, and confidential information handling.
- Proven experience in executive administrative support or office management roles with a strong background in clerical tasks and organizational duties.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems like QuickBooks.
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Strong communication skills with professional phone etiquette and customer service experience.
- Experience with project coordination, event planning, filing systems, and front desk responsibilities.
- Familiarity with office equipment such as multi\-line phone systems and office technology tools like DocuSign for electronic signatures.
- Ability to handle proofreading and transcription tasks accurately while maintaining attention to detail.
