We are seeking a proactive, patient\-centered Clinic Experience Lead to support day\-to\-day operations and deliver a seamless, high\-touch patient experience. This is a player\-coach role, with approximately 70% hands\-on execution and 30% team support and operational coordination. You’ll be deeply involved in the daily flow of the clinic while serving as the go\-to resource for the administrative team. You will work closely with the Founder, COO, and Business Development Manager, helping ensure the clinic runs smoothly, efficiently, and with a strong focus on patient care. This role is a strong growth opportunity for someone looking to develop into an Operations Manager over time.

### Description

What You’ll DoDaily Operations \& Patient Experience

  • Manage front desk operations, including patient check\-in/check\-out and schedule flow
  • Answer patient phone calls, texts, and portal messages with professionalism and timeliness
  • Create a welcoming, hospitality\-driven clinic environment
  • Maintain clinic cleanliness, organization, and readiness throughout the day
  • Serve as the first point of escalation for patient concerns, resolving issues with professionalism and empathy.
  • Team Support \& Oversight

  • Support and guide administrative team members, including patient coordinators, receptionist, and virtual assistants
  • Assist with onboarding and training of new team members
  • Provide real\-time feedback and escalate performance concerns as needed
  • Serve as the go\-to point person for day\-to\-day operational questions and issue resolution
  • Scheduling \& Flow Coordination

  • Support provider schedule management to optimize utilization and minimize gaps
  • Proactively reduce no\-shows and late cancellations through patient communication
  • Troubleshoot day\-of scheduling issues and maintain smooth clinic flow
  • Provider \& Patient Coordination

  • Serve as the primary coordination lead for a small subset of providers
  • Ensure a seamless end\-to\-end patient experience, including scheduling, follow\-ups, and communication
  • Identify gaps in the patient journey and collaborate with leadership to improve workflows
  • Model best\-in\-class patient coordination for the broader team
  • Inventory \& Supplies

  • Manage supplement inventory, including tracking, ordering, and organization
  • Maintain appropriate stock levels while minimizing waste
  • Systems \& Process Support

  • Identify workflow inefficiencies and collaborate with leadership on improvements
  • Help implement and maintain standard operating procedures (SOPs)
  • Support consistency across all patient touchpoints (in\-person and virtual)
  • Performance Tracking

  • Track and report on key operational metrics and support improvement efforts, including:
  • + Schedule utilization

    + Response times to patient inquiries

    + Patient satisfaction and retention

    What We’re Looking For

  • 1–3 years of experience in healthcare operations, hospitality, or a similar client\-facing role
  • Highly organized with the ability to multitask in a fast\-paced environment
  • Strong communication and interpersonal skills
  • A hands\-on, “lead by example” mindset
  • Experience supporting or guiding a team is a plus
  • EHR experience and familiarity with HIPPA and healthcare privacy practices
  • Compensation \& Benefits

  • $65,000–$75,000 annually, depending on experience
  • Up to 10% annual performance\-based bonus tied to:
  • + Overall company performance relative to budget

    + Schedule utilization and clinic efficiency
