The principal of an energy firm is looking for a highly organized, proactive Executive and Personal Assistant to support a busy client and his team across both business and personal needs. This role is ideal for someone who thrives on logistics, anticipates needs before they arise, and takes pride in making things run smoothly behind the scenes — from booking a last\-minute flight to finding and securing an ideal dinner reservation. Work Schedule and Compensation
- Standard business hours Monday–Friday, 9:00 AM – 5:00 PM
- Weekend availability required for personal support matters (not routine office tasks)
- Expected soon to relocate office within Westport
- Salary range: $110,000 – $150,000, with Health Insurance
- Book and manage all domestic and international travel — flights (private and commercial), hotels, ground transportation, and itineraries
- Coordinate private jet scheduling through NetJets for both personal and business travel
- Plan multi\-stop trips across the U.S. and internationally, ensuring seamless logistics for the principal and team
- Be available on weekends for time\-sensitive travel changes and last\-minute needs
- Source and secure restaurant reservations, travel destinations, and cities around the world
- Think and plan ahead for high demand venues or special occasions
- Build a go to network of preferred restaurants and contacts across key cities
- Coordinate all logistics for business conferences, meetings, and events globally, including venue, travel, accommodations, and on\-the\-ground support
- Manage event timelines and handle vendor and venue communication
- Support team members attending events in various locations worldwide
- Proactively track birthdays, holidays, anniversaries, and milestones for family and key clients
- Research and purchase thoughtful, personalized gifts in advance of important dates
- Maintain a gifting calendar and ensure no occasion is missed
- Manage calendars and scheduling across business and personal commitments
- Handle email correspondence as needed.
- Assist with personal tasks, including bill payment, vendor coordination, and ad hoc errands
- Minimum 5 years of experience as an executive assistant, personal assistant, or in a comparable senior support role
- Exceptional organizational skills with the ability to juggle multiple priorities simultaneously
- Experience coordinating private aviation and/or complex multi\-stop travel
- High degree of professionalism, discretion, and emotional intelligence
- Proactive mindset — anticipates needs and acts without being asked
- Strong written and verbal communication skills; comfortable drafting correspondence independently
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Comfortable working both independently in a remote setting and collaboratively in an office environment
- Weekend availability for personal travel\-related matters
- Familiarity with Mac computers a plus
