In this role, you will report to and provide high‑level, strategic administrative and operational support to the Global General Counsel (GGC), a senior executive overseeing global Legal and Compliance functions. You will acts as a trusted partner to the GGC, enabling focus on strategic priorities while ensuring seamless day‑to‑day operations across a complex, multinational environment.
This is a hybrid role working 3\-4 days a week from our Costa Mesa location.
Key Responsibilities
Executive \& Calendar Management
- Proactively manage the Global General Counsel's complex, global calendar, prioritizing meetings across time zones and balancing strategic, operational, and regulatory commitments
- Anticipate scheduling conflicts and resolve them independently
- Coordinate global travel arrangements, visas, itineraries, and expenses
- Provide project management support for Legal and Compliance initiatives, including tracking deliverables, timelines, and action items
- Prepare, edit, and format high‑quality presentations, reports, and briefing materials for executive leadership, Board, and external stakeholders
- Support preparation for Board and committee meetings, including agendas, materials, and follow‑ups
- Partner with Legal Operations, Compliance, and cross‑functional teams to drive execution of key priorities
- Serve as a key point of contact for internal and external stakeholders on behalf of the Global General Counsel
- Draft and review professional communications, ensuring clarity, and tone
- Manage sensitive and confidential information
- Leverage advanced capabilities of the Microsoft 365 suite (Outlook, PowerPoint, Excel, Word, Teams) to streamline workflows and enhance productivity
- Use Copilot and AI tools to support content creation, meeting preparation, summarization, and data analysis
- Design visually compelling presentations and materials using Canva and other visual tools
- Collaborate with other Executive Assistants, providing back‑up support when needed
- Provide on\-site support in the Costa Mesa office and other locations for executive meetings and team events
- Share best practices, tools, and process improvements across the EA community
- Support onboarding and knowledge transfer for new leaders or team members
- Bachelor's degree or equivalent experience
- Minimum 5 years of experience supporting senior executives (C‑suite or equivalent) in a fast‑paced, complex organization
- Project management experience
- Proven experience proactively managing executive calendars and logistics at a senior level Advanced‑level user of Microsoft 365, including Outlook, PowerPoint, Excel, Word, and Teams Hands‑on experience using Copilot and AI‑enabled tools to improve efficiency and quality of work
- Experience using Canva to create visually engaging presentations
- Experience collaborating with and serving as a back‑up for other Executive Assistants
