Summary
Provide administrative and clerical support to management. Works under general supervision of Site Manager, providing administrative assistance requiring exercise of discretion and judgment on occasion. Provide courteous, responsive, and accurate information to associates.
Qualification and Experience
- High school diploma or equivalent.
- 1 year experience in similar role.
- Prior experience in an administrative role where interpersonal and email communication skills were essential.
- Strong verbal, written, communication and time management skills.
- Ability to file, alphabetize, and sort.
- Ability to prioritize multiple tasks to efficiently manage workload.
- Ability to learn new software systems and tasks quickly.
- Strong attention to detail and problem\-solving skills. (required)
- Ability to work independently and in a highly fast paced environment (required).
- Ability to compose routine letters and to edit and proof business correspondence, reports and other business documents as needed.
- Ability to understand and follow company procedures, directions and instructions given.
- Ability to read and concentrate via computer data entry typing and proofreading.
- Ability to operate office equipment including, copiers, printers, scanners, ect.
- Computer literate, especially in MS\-Office Suite, advanced in MS Excel (preferred).
- Experience with a transport management software (preferred).
- Experience with SAP, GEMS, and Xflow (preferred).
- Must be highly dependable, punctual, energetic and have a positive attitude.
- 18 years or older, have a valid driver’s license and legally able to work in the U.S. Pass a drug screen, physical and background check.
- Screens telephone calls and visitors.
- Performs confidential administrative functions on occasion where reports could have moderate effect on cost, such as typing, proofing, and assembling reports or proposals for customers (internal/external) or outside agencies.
- Taking, transcribing and distributing minutes for important meetings.
- Maintains departmental records and prepares special and reoccurring reports,
- Maintains administrative filing system including items that are confidential.
- Schedule meetings and appointments and arranges travel, hotel, and lunch/dinner accommodations as/when necessary/required.
- Arrange on site/off site trainings for employees as requested/required.
- Checking demurrage and detention invoices for correctness and prepare for managers approval or dispute with the steam ship lines.
- Schedule, coordinate, and maintain calendars for site manager and other staff
- Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies to ensure necessary supplies are always available.
- Providing real\-time scheduling support by booking appointments and preventing conflicts.
- Opens, reviews, and sends out all mail/packages directed to/from management.
- Composes responses to routine inquiries and/or forwards appropriate items to manager.
- Follows up on all assignments delegated by manager to subordinates as to status, completion, etc.
- Serves as central communication point for associates and guest.
- Performs additional duties as assigned by management.
