You won’t just be managing a desk; you will be the backbone of our administrative functions, creating a healing environment through exceptional service and seamless operational flow.
The Heart of the Role
- Healing Hospitality: Manage front desk operations, greeting clients with warmth and ensuring our sanctuary remains a peaceful, welcoming environment.
- Clinical Support: Conduct meticulous review of Wellness Plans to ensure accuracy and clarity before they reach the client, acting as a final set of eyes for our practitioners.
- Financial Care: Assist with bookkeeping via QuickBooks and set up customized payment plans, helping clients navigate their financial journey toward health with ease and transparency.
- Communication Hub: Operate multi\-line phone systems with professional etiquette, handling sensitive health inquiries with empathy and routing calls accurately.
- Tech\-Savvy Operations: Utilize Google Workspace and Microsoft Office to prepare client reports, educational correspondence, and practice presentations.
- Practice Flow: Support practitioner calendar management, ensuring our scheduling honors both the client’s needs and the team's capacity.
- Experience: Proven background in an office environment or as an administrative assistant, with previous experience as a dental/medical receptionist or personal assistant being a distinct advantage.
- The "Natural" Fit: A genuine interest in natural health and a commitment to providing a "concierge\-level" experience for our clients.
- Technical Skills: High computer literacy (Microsoft Office, Google Workspace) and a strong comfort level with data entry.
- Financial Literacy: Experience with QuickBooks or basic bookkeeping is highly desirable, especially regarding invoicing and payment arrangements.
- Organizational Mastery: Exceptional ability to multitask in a calm, grounded manner—even when the office gets busy.
- Communication: Demonstrated excellence in phone etiquette and written correspondence; bilingual abilities are a major plus.
