Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with excellent phone etiquette.
- Operate multi\-line phone systems efficiently, handling inquiries and routing calls with professionalism.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software.
- Organize files, process paperwork, and ensure all documents are properly proofread and filed for easy retrieval.
- Support calendar management by scheduling appointments, meetings, and coordinating events with precision.
- Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping.
- Provide exceptional customer service by addressing inquiries promptly via phone or email while supporting clients’ needs with a friendly attitude.
- Handle office management duties such as ordering supplies, maintaining equipment, and ensuring a tidy workspace.
- Support medical or dental reception duties if applicable, including patient check\-in/out and appointment scheduling.
- Perform clerical tasks such as photocopying, scanning documents, and data entry to keep administrative workflows seamless.
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
- Prior experience working at a front desk or as a receptionist in medical or dental settings is highly desirable.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and QuickBooks.
- Strong communication skills—bilingual abilities are a plus—and the ability to maintain professional phone etiquette at all times.
- Experience handling multi\-line phone systems and managing calendars effectively.
