Position Overview
We are currently seeking a part\-time Bookkeeper / Finance Office Assistant to join our team at our Santa Clara office (located in Santa Clara, CA). This is an in\-office position only—no remote or work\-from\-home option is available.
This role combines general bookkeeping tasks with administrative support in our finance office. It is an excellent opportunity for someone with strong organizational skills and attention to detail to gain hands\-on experience in nonprofit accounting and office operations. Bookkeeping experience is required—we are happy to train the right candidate in the specifics of non\-profit accounting.
Key Qualifications:
- High level of accuracy and meticulous attention to detail
- Strong organizational and time\-management skills
- Excellent written and verbal communication abilities
- Proficiency with basic office software (e.g., Microsoft Office, email, scanning tools); experience with QuickBooks software is a plus
- Ability to maintain confidentiality with sensitive financial and personal information
- Alignment with our faith\-based mission and values (Christian commitment preferred)
- Reliable, dependable, and able to work independently as well as part of a small team
- Process incoming checks: receive, prepare deposits, and record transactions
- Perform data entry and general bookkeeping tasks (e.g., recording expenses, reconciling accounts)
- Audit and process timecards for staff and program participants
- Handle professional communications with directors, vendors, insurance companies, and other external parties
- Maintain accurate vehicle records, including registration, insurance, and related documentation
- Scan, file, and distribute incoming mail, email attachments, and other documents to the appropriate recipients in a timely manner
- Maintain organized vendor files and ensure business licenses/permits are current and properly documented
- Perform electronic filing and other administrative duties as needed
- Assist with additional finance office tasks and special projects
