The California State Teachers’ Retirement System (CalSTRS), Information Technology Budgeting and Administration (ITBA) Unit is seeking to hire a student assistant under the close supervision and direction of the ITBA Supervisor, and in a learning capacity, the student assistant will perform a variety of the less complex tasks in connection with the ITBA unit and may support other Enterprise IT Governance (ETIG) teams as necessary. We are a diverse team and work in a fast\-paced environment with new challenges every day. The Student Assistant will be working with different business areas and our vendor partners and provide excellent customer service.

This position is located at CalSTRS Headquarters in West Sacramento, CA.

Employment

This is a part\-time, temporary, non\-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Depending on the type of position you are applying for, a pre\-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Applicants will be required to pass required pre\-employment checks to the satisfaction of University Enterprises, Inc. (UEI) and the hiring Agency or Department.

UEI does not allow students to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI Student assistant position for a different UEI student assistant position should inform their supervisor in writing and provide at least a week’s notice.

UEI is not a multi\-state employer. UEI only employs candidates who live and work in the state of California. If selected for the position, you must reside in California and all work must be performed in the state of California throughout the course of employment.

Prerequisites

Must be a colleg e student attending classes during the regular term (fall, spring, and winter, if applicable) at an accredited college or university on our affiliation list.

Students must be enrolled in at least: six\-semester units or nine quarter units for undergraduate students; four\-semester units or six quarter units for graduate students.

Students declared major must match the major(s) listed in the job posting.

Majors/Fields of Study

Accounting, Finance, Business, Business Administration/Management, Computer/Management Information Systems, Human Resources, Technology, Government, Public Policy and Administration, or closely related field of study.

Work Schedule

F lexible workdays and work hours, Monday – Friday, between 7 AM – 5 PM. The final work schedule will be determined by the supervisor.

Compensation

$20\.60 per hour

Minimum Qualifications

  • Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.
  • Strong customer service skills in a professional office setting.
  • Ability to organize and maintain accurate records and pay strict attention to detail.
  • Ability to multitask and manage time wisely.
  • Ability to communicate effectively (verbally and in writing) through email, telephone, instant messaging, web conferencing, and in\-person.
  • Good and consistent attendance.
  • Strong verbal and written communication skills.
  • Strong research and analytical skills.

    Preferred Qualifications

  • Previous work experience using Microsoft Office, Word, Excel, Outlook, Teams, SharePoint, and Adobe Acrobat.
  • Previous work experience reviewing documents such as invoices, timesheets, and acceptance/delivery confirmations for accuracy and completing data entries into a database or system.
  • Previous customer service experience dealing with internal employees and external customers, preferably in a professional office setting.
  • Individuals who are, or have been, a dependent child in foster care, a homeless youth or a formerly incarcerated youth as defined by Government Code section 18220 are encouraged to apply and will be given priority. Please note that prior to appointment, individuals claiming preference under one of these categories will be required to furnish documentation establishing their eligibility.

    Duties and Responsibilities

  • Review Technology Services vendor invoices and related approval documents prior to completing service receipts/data entries in accounting system.
  • Work closely with CalSTRS stakeholders and vendors to resolve document discrepancies, disputed invoices, provide payment information and updates.
  • Escalate complex cases to ITBA staff to troubleshoot and/or work with cross\-organizational staff to resolve invoicing issues.
  • Assist the ITBA staff with simple routine data entry of ongoing bills and charges, tracking of invoices and payments, updating tracking spreadsheets.
  • Perform simple research on purchase orders and receipts within the accounting and imaging systems.
  • Provide office support to the ITBA team such as monitoring the team mailbox for simple requests from CalSTRS staff; respond to email inquiries and escalate complex cases to ITBA staff to resolve.
  • Scan and file documents or forward to imaging teams as appropriate.
  • Sort and deliver mail/documents to the Branch and others as needed.
  • Update various team documents (e.g., job aids, reference guides, etc.), folders, and databases using Microsoft Excel, Word, Teams, SharePoint, etc.
  • Help ITBA staff build out new processes and solutions that apply Technology to tasks to increase efficiency; and provide less complex knowledge transfer/training as needed.
  • Provide administrative support to EITG management. May be assigned to other EITG teams temporarily for specialist assignments as needed.
  • Assist with the interview process by scheduling interviews, assembling interview packets, and escorting candidates to and from interviews. Assist ITBA staff in simple review of documents and forms such as timesheets for accuracy and completion. Update applicable spreadsheets/databases.
  • Assist in the Training Coordinator role in registering staff for training with external vendors or gathering requests for quotes.

    Physical Requirements

    Sit for extended periods; frequently stand and walk; manual dexterity and hand\-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.

    Working Conditions

    Work is performed in a hybrid environment.

    Students/Employees will be required to work according to the current UEI remote workplace policy and sign a UEI Work from Home Agreement. The decision to permit an employee to work from home is at the discretion of the supervisor or employer and may, at any time and with or without cause, unilaterally terminate the option to work from home.
