Position Summary:
The Front Desk Receptionist / HR Assistant is responsible for providing a professional first impression to visitors while supporting the Human Resources department with administrative tasks. This position manages front desk operations, assists with office coordination, and provides HR support including onboarding assistance, employee records, and scheduling.
Responsibilities
Front Desk / Visitor Services
- Greet and assist visitors in a professional and friendly manner.
- Direct guests to the appropriate department or employee.
- Maintain visitor logs and issue visitor badges as needed.
- Ensure visitors follow company check\-in and security procedures.
- Maintain a clean and organized reception area.
- Answer, screen, and forward incoming calls.
- Take and relay messages accurately.
- Respond to general inquiries from employees, customers, and vendors.
- Provide general clerical support including filing, scanning, copying, and data entry.
- Assist with preparing documents, forms, and reports.
- Monitor office supplies and assist with ordering when needed.
- Track and distribute company uniforms.
- Receive, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and coordinate shipping when necessary.
- Assist with scheduling meetings, interviews, and appointments.
- Coordinate conference room reservations and meeting arrangements.
- Assist with new hire onboarding and HR paperwork.
- Maintain and organize employee files and records.
- Support recruiting efforts by scheduling interviews and communicating with candidates.
- Assist with HR reports, training coordination, and employee events.
- Handle confidential information with discretion.
- Perform additional administrative or HR duties as assigned.
- High school diploma or equivalent required; associate degree preferred.
- Previous receptionist, administrative, or HR support experience preferred.
- Strong communication and customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
