Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Perform data entry, filing, and document proofreading to maintain accurate records and support administrative processes
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management
  • Assist with calendar management and appointment scheduling for staff or executives
  • Support bookkeeping tasks using QuickBooks
  • Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
  • Skills

  • Proven experience with office management, clerical tasks, and administrative support in a professional environment
  • Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and basic bookkeeping software
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Exceptional phone etiquette skills combined with experience handling multi\-line phone systems and customer service interactions
  • Attention to detail in proofreading, filing, and maintaining accurate records
  • Personal assistant or medical/dental receptionist experience is a plus but not required; strong willingness to learn is essential
