This is a leadership level operations and executive support position designed to help scale a high performing brand while protecting the CEO’s time, energy, and focus.
You will work directly with Lauren to streamline operations, elevate marketing execution, support team growth, and enhance client experience.
Schedule \& Compensation
- 14 to 20 hours per week
- Hybrid position with approximately 6 to 8 hours per week in person in Orland Park and remaining hours remote
- $25 to $30 per hour depending on experience
- Growth opportunity as the business scales
- Oversee listing to close and contract to close workflows
- Maintain and improve checklists and transaction timelines
- Track weekly business priorities, production goals, and team metrics
- Help implement and document Standard Operating Procedures
- Ensure systems are organized, efficient, and scalable
- Assist with team accountability tracking and meeting preparation
- Calendar management and scheduling coordination
- Inbox organization and drafting responses
- Prepare CMAs and listing presentation materials
- Coordinate vendors including photographers, stagers, contractors, sign installers
- Pick up lockboxes, checks, keys, signs as needed
- MLS data entry and listing input
- Prepare mailers and marketing materials
- Assist with PTA and community related coordination when needed
- Manage listing marketing timelines from pre list to close
- Coordinate photographers, videographers, and staging timelines
- Execute newsletters, lead magnets, email campaigns, and pop by campaigns
- Maintain brand consistency across social media platforms
- Assist with content planning, batching, and filming
- Help manage CRM and database segmentation
- Coordinate closing gifts and referral gifts
- Maintain VIP client touchpoint system
- Assist in planning client appreciation events and community events
- Ensure high level, personalized client service at every step
- Help support three team agents with systems and organization
- Assist in preparing training materials and team meeting agendas
- Help keep everyone aligned with production goals
- Real Estate experience \- as an agent or in an admin role
- Extremely organized and detail oriented
- Self motivated and proactive
- Calm under pressure and solution oriented
- Tech savvy with CRM systems, Canva, Google Workspace, MLS, and social platforms
- Able to manage multiple projects independently
- Comfortable in a fast paced, high expectation environment
- Trustworthy and discreet
- Strong written communication skills
