Job Summary
We are seeking a proactive and organized Construction Office Assistant to join our dynamic team. In this vital role, you will support daily administrative operations within our construction office, ensuring smooth communication, efficient document management, and excellent customer service. Your energetic approach and attention to detail will help keep projects on track and foster positive relationships with clients, contractors, and team members. This paid position offers an exciting opportunity to develop your office management skills within a fast\-paced construction environment.
Duties
- Manage front desk responsibilities, greeting visitors and directing phone calls with professionalism and courtesy using multi\-line phone systems and phone etiquette.
- Maintain organized filing systems for project documents, contracts, permits, and correspondence to ensure quick retrieval and compliance.
- Assist with data entry tasks such as updating project schedules, tracking invoices, and maintaining records using Microsoft Office, Google Workspace, and other computer skills.
- Support bookkeeping activities including basic bookkeeping tasks and expense tracking using QuickBooks or similar accounting software.
- Coordinate calendar management for project meetings, appointments, and deadlines to optimize time management for the team.
- Proofread and review documents for accuracy before distribution to ensure clarity and professionalism.
- Provide excellent customer support by responding promptly to inquiries from clients, vendors, and team members while maintaining a positive attitude.
- Strong organizational skills with the ability to multitask efficiently in a busy office setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, data entry, and communication.
- Excellent phone etiquette with experience managing multi\-line phone systems in a professional environment.
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively.
- Demonstrated clerical experience including filing, proofreading, data entry, and calendar management.
- Knowledge of office management procedures combined with strong computer literacy skills.
- Experience in customer service roles such as dental or medical receptionist or personal assistant roles is a plus.
- Familiarity with bookkeeping software like QuickBooks is advantageous for supporting financial tasks.
- Exceptional time management skills to prioritize tasks efficiently while maintaining accuracy in all responsibilities.
