Job Summary
We are seeking a dynamic and highly organized Administrative \& Design Assistant to join our team! Duties
- Manage front desk responsibilities, including greeting visitors and directing calls using multi\-line phone systems with professionalism and courtesy
- Handle all incoming calls with proper phone etiquette, providing prompt assistance or routing inquiries appropriately
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading for quality assurance
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings using Google Workspace and Microsoft Office tools
- Assist with basic bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
- Provide clerical support through filing, photocopying, and preparing correspondence or reports as needed
- Collaborate with design team to assist with project records, design documentation, design presentations and library/sample room organization
- Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking ability
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with Adobe Creative Suite and MAC systems
- Experience with QuickBooks or similar bookkeeping software is preferred
- Experience with ArchiCAD is a plus
- Excellent customer service skills with the ability to handle inquiries via phone or in person effectively
