Job Summary

We are a boutique personal injury law firm in Midtown Manhattan seeking a full\-time reliable, professional Legal Administrative Assistant to support daily intake and administrative operations. This role is client\-facing and critical to the firm’s organization, responsiveness, and first impression.

The ideal candidate will be bilingual (Spanish/English), possess both strong administrative and interpersonal skills, strong attention to detail, and the ability to manage multiple tasks efficiently.

This role offers an opportunity to work closely with attorneys and paralegals, providing essential support in client intake, document management, and litigation calendar management.

This role offers the opportunity for a hybrid work arrangement after successfully completing the first 90 days of employment.

Responsibilities

  • Provide executive administrative support to remote and in\-person attorneys and paralegals, including scheduling, correspondence, and calendar management
  • Manage intake process with new clients, including securing signed retainer package, notarizing documents and completing intake questionnaire
  • Ensure documentation accuracy and compliance with firm standards
  • Open, organize and maintain case files using a case management system such as Neos
  • Prepare and send no\-fault applications \& representation letters
  • Conduct data entry and filing to ensure efficient document retrieval and record keeping
  • Coordinate client interviews and facilitate communication between clients and attorneys with professional phone etiquette
  • Maintain and manage the firm calendar, including proactively coordinating depositions and scheduling logistics, including direct, documented and consistent follow\-up with all parties to ensure matters are confirmed and calendared promptly.
  • Schedule client transportation to/from IMEs, depositions, etc.
  • Assist in project management tasks related to ongoing legal cases or firm initiatives
  • Required Experience

  • Strong organizational skills with the ability to manage multiple priorities efficiently
  • Strong client service and/or client satisfaction experience, including exceptional phone etiquette to handle client inquiries professionally
  • Confident communicator who is comfortable making repeated follow\-ups and advocating for timely scheduling to keep cases progressing
  • Excellent writing skills for drafting documents and correspondence
  • Clerical experience involving data entry, filing systems, document management systems, and general administrative support
  • Licensed NY notary \- in\-person and virtual (or willing to obtain within 60 days of hire)
  • Strongly Preferred Experience

  • Prior paralegal or legal administrative experience
  • Familiarity with personal injury practice
  • Experience with legal case management software
  • Bilingual (Spanish/English)

    Pay: $21\.00 \- $26\.00 per hour
