Mind Meadow Counseling is seeking a reliable, organized, and compassionate Administrative Assistant to support our growing mental health practice in Fairfax, Virginia. This on\-site role is essential to maintaining smooth daily operations and ensuring the overall success of the practice.
Position Overview
The Administrative Assistant serves as the first point of contact for clients and plays a key role in supporting both clinical and business operations. This position requires strong organizational skills, attention to detail, professionalism, and the ability to work independently in a structured environment.
Responsibilities
- Manage front desk operations and client check\-in/check\-out
- Answer and route phone calls professionally
- Respond to emails in a timely and courteous manner
- Schedule, confirm, and coordinate client appointments
- Maintain accurate client records and documentation
- Provide general administrative support to clinicians and leadership
- Assist with operational tasks that support the overall functioning of the business
- Uphold strict confidentiality and professional boundaries (HIPAA compliance)
- Maintain a calm, organized, and welcoming office environment
- Reliable, punctual, and self\-motivated
- Highly organized with strong attention to detail
- Able to manage responsibilities independently and prioritize tasks effectively
- Professional, empathetic, and personable communication skills
- Comfortable handling confidential information
- Proficient in Microsoft Office and/or Google Workspace
- Experience with scheduling software (SimplePractice preferred or willingness to learn)
- Administrative experience in a healthcare or mental health setting
- Experience using multi\-line phone systems
- Strong clerical skills (data entry, filing, calendar management)
- Bilingual abilities are a plus
