Key Responsibilities
Business \& Administrative Support
- Assist with paperwork, applications, and document filing (state, county, business offices)
- Coordinate appointments, vendors, and service providers
- Help manage schedules and deadlines across multiple projects
- Run business\-related errands and follow\-ups
- Assist with front\-end sales and customer service at the pharmacy (training provided)
- Support marketing or community outreach efforts as needed
- Help coordinate maintenance, cleaning, or guest needs for rental or personal properties
- Communicate with contractors, service providers, or tenants when needed
- Assist with light property oversight and organization
- Assist with scheduling, appointments, and logistics
- Occasional school or activity drop\-offs/pick\-ups may be needed
- Help coordinate household or family\-related scheduling when required
- Valid driver’s license and reliable transportation
- Strong organizational and time\-management skills

- Prior administrative, assistant, or operations experience preferred
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Provide executive administrative support including email management, correspondence drafting, proofreading, and transcription of documents.
- Coordinate projects by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Organize and facilitate event planning activities for corporate or personal events, handling logistics and vendor communications.
- Perform bookkeeping and basic accounting tasks using QuickBooks; handle invoicing, expense tracking, and data entry.
- Oversee office management duties such as filing, document organization, front desk reception, and maintaining office supplies inventory.
- Utilize multi\-line phone systems with phone etiquette to handle calls professionally while directing inquiries appropriately.
- Prepare documents using Microsoft Office Suite (Word, Excel) and ensure accuracy through proofreading.
- Assist with transcription tasks as needed for meetings or presentations.
- Support project coordination efforts by collaborating with team members and external vendors to meet organizational goals.
- Proven experience as a Personal Assistant or in an administrative support role with office experience preferred.
- Strong organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Proficiency in Microsoft Office (Word, Excel), Microsoft Outlook Calendar, Google Workspace (Docs, Sheets), and familiarity with DocuSign.
- Experience with QuickBooks for bookkeeping; data entry skills are essential.
- Ability to handle confidential information discreetly and maintain professionalism at all times.
- Demonstrated project coordination skills along with event planning experience is a plus.
- High level of computer literacy with experience managing multi\-line phone systems and office management software.
