Executive Assistant to Family Office \& Hedge Fund Employment Type: Full\-Time Compensation: Competitive, based on experience Reports To: Principal / Managing Partner About the Role We are seeking an exceptionally capable, highly organized, and resilient Executive Assistant to support the Principal and leadership team of a private family office and hedge fund. This is not a traditional administrative assistant position. We are looking for someone who has experience operating in high\-pressure, fast\-moving environments and is comfortable working directly with sophisticated investors, executives, attorneys, bankers, entrepreneurs, and other high\-level professionals. The ideal candidate is sharp, discreet, confident, resourceful, and extremely difficult to rattle. You need to be able to handle demanding personalities, changing priorities, sensitive information, and last\-minute requests without losing your composure. You will become a trusted extension of the Principal and will be expected to anticipate needs, solve problems, protect time, and make things happen. Key Responsibilities Executive \& Personal Support Manage an extremely complex calendar, meetings, calls, travel, and personal commitments Coordinate domestic and international travel, accommodations, transportation, and itineraries Prepare the Principal for meetings by organizing relevant information, documents, contacts, and schedules Manage communications and follow\-ups on behalf of the Principal Track commitments, deadlines, projects, and outstanding action items Serve as a gatekeeper while maintaining excellent relationships with important contacts Anticipate needs before they become problems Family Office \& Investment Support Assist with confidential family office and investment\-related projects Coordinate with investment managers, brokers, bankers, attorneys, CPAs, wealth advisors, consultants, and other professional partners Organize financial documents, reports, statements, agreements, and due diligence materials Maintain accurate records and confidential databases Help coordinate transactions, meetings, closings, and other time\-sensitive matters Conduct research and prepare summaries, briefing documents, and presentations Follow up relentlessly on outstanding items and ensure projects continue moving forward Relationship Management You will regularly interact with high\-net\-worth individuals, business owners, investors, executives, advisors, attorneys, and other influential professionals. You must be comfortable picking up the phone, getting answers, pushing for information, navigating difficult conversations, and professionally holding people accountable. You should have excellent judgment regarding when to be diplomatic, when to be persistent, and when something needs to be escalated immediately. The Right Person We are looking for someone who is: Tough, confident, and composed under pressure Highly intelligent and able to learn quickly Extremely organized and detail\-oriented Proactive rather than reactive Comfortable dealing with demanding or intense personalities Discreet and trustworthy with highly confidential information A strong communicator who can speak comfortably with executives and high\-net\-worth individuals Resourceful and exceptionally good at solving problems Comfortable operating with limited direction Able to prioritize when everything feels urgent Willing to make difficult phone calls and have difficult conversations when necessary Persistent about getting things done Professional without being intimidated Comfortable working long or nontraditional hours when circumstances require it Tech\-savvy and highly proficient with modern productivity tools Able to maintain boundaries, confidentiality, and professionalism at all times Required Experience 5\+ years of experience as an Executive Assistant, Chief of Staff, Family Office Assistant, Private Assistant, Investment/Financial Services Assistant, or similar role Experience supporting a CEO, founder, investor, managing partner, principal, family office, hedge fund, private equity firm, or other high\-level executive strongly preferred Demonstrated experience handling confidential financial and personal information Exceptional calendar, travel, communication, and organizational skills Strong proficiency with Microsoft Office/Google Workspace Ability to manage multiple projects and priorities simultaneously Excellent written and verbal communication skills Preferred Experience Experience in one or more of the following is highly valued: Family office Hedge funds Private equity Venture capital Investment banking Wealth management Real estate investment M\&A Private aviation High\-net\-worth client services Executive protection/security coordination * Legal or financial services What Success Looks Like Within the first 90 days, you should become someone the Principal can genuinely rely on.
