Administrative Assistant Reports To: CEO or designated department leader Classification: Full\-Time or Part\-Time \| Non\-Exempt Department: Administration Position Summary The Administrative Assistant provides administrative and organizational support to help ensure the efficient day\-to\-day operations of the nonprofit organization. This position supports leadership and staff through scheduling, correspondence, document preparation, recordkeeping, meeting coordination, data entry, and general office administration. The ideal candidate is highly organized, dependable, detail\-oriented, and comfortable managing multiple priorities in a mission\-driven environment. This position frequently interacts with staff, board members, volunteers, donors, vendors, community partners, and members of the public and is expected to represent the organization professionally and courteously. Essential Duties and ResponsibilitiesAdministrative Support Provide day\-to\-day administrative support to the CEO and other members of the leadership team. Manage calendars, schedule meetings, coordinate appointments, and assist with meeting logistics. Prepare, proofread, format, copy, scan, and distribute correspondence, reports, presentations, policies, forms, and other documents. Maintain organized electronic and paper filing systems. Assist with incoming telephone calls, emails, mail, and general inquiries. Order and maintain office supplies and coordinate with vendors as needed. Maintain administrative calendars, deadlines, and recurring organizational requirements. Assist with special projects and other administrative assignments. Human Resources Administrative Support Provide routine administrative support for human resources functions under the direction of the CEO or other designated management personnel. Perform HR\-related administrative duties within the scope of the position and under appropriate management oversight. This position does not independently make decisions regarding hiring, termination, discipline, compensation, employee relations, legal compliance, or interpretation of employment policies. Records and Compliance Maintain confidentiality of personnel, donor, financial, legal, and organizational information. Assist with document retention and records\-management practices. Support leadership in gathering documents and information needed for audits, grant reporting, regulatory filings, and other compliance activities. Financial and Development Administration Coordinate administrative information with accounting or bookkeeping personnel. Assist with donor data entry, acknowledgments, mailings, and fundraising records when needed. Provide administrative support for fundraising campaigns, events, sponsorships, grants, and donor communications. Maintain accurate records while protecting confidential donor and financial information. Meetings and Events Coordinate meeting schedules, room reservations, virtual meeting links, materials, and refreshments when necessary. Assist with organizational events, staff meetings, board meetings, fundraising events, and community activities as needed. Track meeting action items and assist with follow\-up when requested. Communication and Customer Service Serve as a professional and welcoming point of contact for staff, volunteers, donors, vendors, community partners, and members of the public. Respond to routine questions and appropriately route inquiries to the correct staff member. Draft routine correspondence and communications. Demonstrate professionalism, discretion, patience, and good judgment in all interactions. Required Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous administrative, office, nonprofit, or related professional experience preferred. Strong organizational and time\-management skills. Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Ability to prioritize assignments and manage multiple deadlines. Ability to work independently while also functioning effectively as part of a team. Demonstrated ability to handle sensitive and confidential information appropriately. Strong computer skills, including proficiency with Microsoft Office applications such as Word, Excel, Outlook, PowerPoint, and Teams. Ability to learn and effectively use databases, donor\-management systems, cloud\-based file systems, and other organizational software. Preferred Qualifications Previous experience working for a nonprofit organization. Experience supporting executive leadership. Experience preparing meeting agendas, and meeting minutes. Experience using donor database / CRM software. Basic understanding of nonprofit operations, governance, fundraising, and financial administration. Experience coordinating meetings, events, or community activities. Experience providing administrative support for basic human resources functions, including onboarding, personnel records or employee documentation. The employee may occasionally be required to lift or move office supplies and materials weighing up to approximately 25 pounds.
