Aspire Neuropsychological Services is seeking a highly organized, proactive, and personable Executive Administrative Assistant to support our leadership team and contribute to the smooth operation of our growing neuropsychological practice. The ideal candidate is dependable, detail\-oriented, comfortable working independently, and able to balance competing priorities while maintaining a warm and professional presence. Key Responsibilities Provide comprehensive administrative and organizational support to executive and clinical leadership Manage complex calendars, coordinate meetings, appointments, and other scheduling needs. Serve as a professional and welcoming point of contact for clients, clinicians, vendors, and other professional contacts Answer and manage a multi\-line phone system with exceptional professionalism and phone etiquette Respond to emails, inquiries, and routine correspondence in a timely and professional manner Assist with client communication, follow\-up, scheduling coordination, and administrative questions Perform accurate data entry and maintain organized electronic records and files Maintain confidential records in accordance with company policies and HIPAA laws. Assist with administrative aspects of clinical operations and ensure information is communicated accurately between leadership and team members Support office operations, including ordering supplies, coordinating equipment needs, and maintaining an organized work environment Assist with tracking projects, deadlines, administrative tasks, and follow\-up items for leadership Help identify administrative needs and proactively address issues before they become problems Perform general administrative and special\-project duties as assigned Qualifications Previous experience in an administrative, executive assistant, medical office, healthcare, behavioral health, or professional office environment preferred Exceptional organizational and time\-management skills Strong attention to detail and accuracy Excellent written and verbal communication skills Professional, warm, and polished phone and interpersonal skills Ability to manage multiple priorities and remain calm in a fast\-paced environment Strong proficiency with Microsoft Word, Excel, and Outlook Strong computer skills and ability to learn new software and systems quickly Experience with electronic records, scheduling platforms, or practice\-management software is a plus Experience with G suite is a plus. Ability to handle confidential and sensitive information with discretion Strong problem\-solving skills and the ability to work independently Bilingual communication skills are highly desirable Previous executive or personal assistant experience is preferred but not required What We're Looking For The right person for Aspire is more than someone who can complete a checklist.
