Administrative AssistantRole Overview The Administrative Assistant provides on\-site administrative, operational and project support to keep the team organized and moving forward. Reporting to the Chief of Staff, this role handles day\-to\-day administrative tasks, project follow\-through, documentation, coordination and other priorities as directed. The ideal candidate is organized, resourceful, detail\-oriented and able to independently manage tasks through completion. Responsibilities Provide administrative support: Assist with meeting preparation, agenda creation, meeting notes and action items for leadership and department meetings. Execute project and administrative tasks: Complete assigned tasks and projects in Asana and follow through to completion. Support leadership meetings: Prepare meeting materials, scorecards and Rocks; document decisions and follow up on action items. Support HR administration: Coordinate onboarding and offboarding, maintain employee files, track compliance requirements and maintain PTO records. Maintain company documents and systems: Keep SOPs, templates, checklists and shared folders organized and up to date; support system access and administrative needs. Coordinate vendors, facilities and maintenance: Schedule service appointments, track facility projects, communicate with vendors and ensure maintenance tasks are completed on time. Support finance and administrative processes: Route invoices, assist with account setups and track administrative requirements related to A/R and A/P. Research and information gathering: Research vendors, services, pricing and requirements as requested and organize findings for leadership. Provide additional support as needed: Take on administrative, operational and special projects as directed by the Chief of Staff. Success Metrics Assigned tasks are completed accurately and on time. Meeting notes and action items are distributed within one business day. Departmental documentation, including SOPs and checklists, is kept current and organized. Administrative deadlines, renewals and compliance requirements are met. Questions, issues and recommendations are brought forward with the information needed for the Chief of Staff to make decisions quickly. Requirements Highly organized and naturally detail\-oriented. Comfortable following up repeatedly and professionally. Strong written communication and documentation skills. Able to turn conversations into tasks and tasks into completed work. Proactive while understanding decision\-making authority and when to ask for direction. Comfortable working across departments and with outside vendors. Able to manage multiple priorities without losing track of details. Willing to ask questions when ownership, expectations or deadlines are unclear. Able to manage work through completion, not simply start tasks. Comfortable working with remote leadership; able to receive direction remotely, work independently and communicate proactively with the Chief of Staff and other members of leadership. Required Hours This is a full\-time, in\-person position, Monday through Friday, 7:00 AM \- 3:30 PM. Occasional overtime and flexibility may be required during busy periods.
