General Description The essential function of the position within the organization is to provide complex and high level administrative, secretarial, and clerical support to the assigned general magistrate. This position is responsible for scheduling, case coordination, case research and preparation, and docket management. This position is responsible for handling a high volume of cases and case inquiries and must be able to handle a multi\-line telephone system and perform general office duties. In addition, this position prepares, tracks, and maintains statistical reports and correspondence. This position involves communication and interaction with judges and judicial staff, pro\-se litigants, attorneys and their staff, case managers, clerks, as well as the public. This position works independently under general supervision according to procedures developing work methods and sequences. Examples of Work Performed Coordinates motions and pleadings, including contacting parties, to set in\-person and virtual hearings where necessary. Prepares, edits and reviews correspondence, memoranda, orders, reports, forms, e\-mails, and other documents assuring that appropriate attachments are incorporated when necessary and observing strict confidentiality; organizes papers for filing. Reviews case files for accuracy, format compliance, and completeness prior to submitting files; ensures presence of all required files; and maintains trial dockets, continuances, and orders. Coordinates and communicates with attorneys, litigants, the Attorney General or State Attorney’s Office, the Clerk’s Office, and the general public regarding various inquiries, scheduling conflicts, and other case\-related issues. Researches information on hearing dates and coordinates with other agencies; prepares notices of hearings for cases. Coordinates cases for the general magistrate assigned. Screens telephone calls and greets visitors to office; provides information; resolves issues; directs caller/visitor to proper personnel or agency; or takes messages. Prepares and maintains the general magistrate court and professional calendar; schedules and coordinates motions, hearings, and conferences; assists with procedures for filing motions and hearing dates. Attends hearings, and pretrial and case management conferences to assist with scheduling of trials or hearings and managing docket. Establishes new cases; verifies case law citations on all memoranda; tracks all files. Performs routine clerical tasks such as reviewing, distributing, and responding to incoming mail; performing data entry; ordering office supplies; maintaining files/records; faxing; scanning; or photocopying. Minimum Education and Experience High school diploma or GED and two years of college or vocational school education in paralegal, secretarial skills, computer operations, or a closely related field. Additional relevant education may substitute for the recommended experience on a year for\-year basis, excluding supervisory experience.
