Position Summary The Administrative Assistant (Independent Contractor) provides high\-quality administrative and operational support to ensure the efficient day\-to\-day functioning of the organization. Working closely with the Executive Director, staff, Board of Directors, volunteers, donors, and community partners, this role helps maintain smooth organizational operations while supporting the organization's mission and strategic priorities. This is a part\-time, independent contractor (1099\) position requiring approximately 10–20 hours per week. This is a hybrid position with contractor based in New York City or surrounding areas. Must be able to commute into New York City for occasional in\-person attendance at board meetings, organizational events, or special program. Work hours are flexible and coordinated with the Executive Director to meet organizational priorities. As an independent contractor, the Administrative Assistant is responsible for providing their own workspace, computer, internet access, and other equipment necessary to perform contracted services. Pay starts at $25/hour and is commensurate on experience. Key ResponsibilitiesAdministrative Support Provide day\-to\-day administrative support to ensure efficient organizational operations. Manage calendars, schedule meetings, and coordinate appointments and organizational activities. Maintain organized electronic and paper filing systems while ensuring confidentiality of sensitive information. Manage incoming communications, including emails, phone calls, and general inquiries. Assist with maintaining organizational records, databases, and documentation. Executive \& Board Support Provide administrative support to the Executive Director and leadership team. Coordinate Board of Directors meetings, including scheduling, preparing agendas, assembling meeting materials, and maintaining board records. Assist with committee meetings and tracking follow\-up action items. Program \& Operations Support Assist staff with administrative needs related to programs, services, and community initiatives. Support planning and coordination of virtual and in\-person events. Assist with registration, logistics, communications, and follow\-up activities. Support data entry, reporting, document preparation, and organizational tracking systems. Donor \& Community Relations Support Assist with donor communications, acknowledgments, mailings, and database updates. Respond professionally to inquiries from donors, volunteers, partners, and community members. Support fundraising campaigns, special events, and outreach activities as needed. QualificationsRequired Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Minimum of 2 years of administrative support experience, preferably in a nonprofit, education, workforce development, arts, or community\-based organization. Proficiency in Google Workspace. Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail and accuracy. Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision. Demonstrated professionalism, discretion, and ability to maintain confidential information. Strong interpersonal and customer service skills with the ability to work effectively with staff, board members, volunteers, donors, and community partners. Reliable internet access and ability to work effectively in a remote environment. Preferred Qualifications Experience working with a nonprofit organization. Experience supporting executive leadership. Knowledge of nonprofit fundraising, grant administration, or community engagement. Experience with project management and collaboration tools.
