You will not be waiting for a task list. You will be the person who sees what needs to happen and makes it happen before being asked. You will own the calendar, manage the inbox, track open items, coordinate recruiting, and make sure nothing falls through the cracks in a fast\-moving founder\-led company. Triage the CEO's inbox and shared Accounting and Administration mailboxes. Identify what needs a decision, a response, or a follow\-up. Draft clear responses and track commitments so they do not disappear. Calendar and meeting coordination. Manage the CEO's calendar, protect time for high\-priority work, spot conflicts before they happen, and make sure meetings have the attendees, context, and materials they need. Task and follow\-up tracking. Maintain a reliable system for open items, delegated work, and deadlines. Follow up with owners before deadlines are missed and escalate stalled work early. Weekly summary and status reporting. A concise weekly report of what is open, what is due, and what needs a decision from the CEO. Process documentation. Turn recurring work into simple, repeatable checklists and SOPs, with one source of truth per process. How the Role May Expand Once the core executive\-support system is running reliably, the role may grow into payroll preparation, invoicing and accounts\-receivable coordination, vendor and renewal tracking, basic quoting, and quarterly business review preparation. These are growth opportunities, not day\-one expectations. What We Are Looking For At least 3 years of professional experience in executive support, administration, operations, office management, or project coordination, in an environment with real deadlines and accountability to senior leadership. Strong written and verbal communication. Clear, direct, and professional. A dependable personal system for tasks, follow\-ups, and open items, and the ability to describe it. Genuine comfort with technology and the ability to learn unfamiliar business software quickly. No IT background required. Sound judgment with sensitive information. This role touches financials, HR, client details, and business strategy. Reliable availability of approximately 20 hours per week, Monday through Friday, on a consistent agreed schedule with enough business\-hour overlap to coordinate with the CEO, team, candidates, clients, and vendors. Residence in the Portland metro area and willingness to work regularly from our Beaverton office.
