Bedford Academy is seeking a reliable, highly organized, proactive, flexible, and technology\-savvy Executive Assistant to provide comprehensive administrative and technological support in a fast\-paced private school environment. This position serves as a key partner to the Head of School, helping provide admissions support, events, technology initiatives, and executive\-level administrative responsibilities. The ideal candidate is professional, adaptable, detail\-oriented, and enjoys working with families, students, faculty, and community partners. Candidates with previous experience in an educational setting are strongly preferred. Key Responsibilities Admissions \& Operations Provide direct administrative support to the Head of School. Manage complex calendars, appointments, meetings, and school events. Prepare agendas, meeting materials, presentations, and follow\-up documentation. Maintain confidential records and files with the highest level of discretion. Assist with admissions processes, student enrollment, and family communications. Coordinate school\-wide events, parent meetings, field trips, and special programs. Help organize faculty meetings, professional development, and school initiatives. Assist with purchasing office and classroom supplies and coordinating with vendors. Support front office operations by greeting visitors and providing exceptional customer service to students, families, and guests. Help ensure the smooth day\-to\-day operation of the school by adapting to changing priorities and assisting wherever needed. Assist with special projects and other duties as assigned. Communications \& Marketing Create visually engaging newsletters, flyers, presentations, social media graphics, and marketing materials using Canva. Update website content and assist with digital communications. Help maintain consistent school branding across print and digital platforms. Support admissions and marketing initiatives. Technology \& Data Management Serve as a technology resource for administrative staff and faculty. Utilize Google Workspace, Microsoft Office, and school management systems efficiently. Maintain organized digital filing systems. Assist with data entry, reporting, spreadsheets, and database management. Support technology initiatives, including online forms, digital workflows, and school software platforms. Troubleshoot basic technology issues and communicate effectively with technology vendors when necessary. Qualifications Bachelor's degree required. Previous experience in a school setting strongly preferred. Demonstrated reliability, professionalism, and a strong commitment to punctuality and consistent attendance are essential for success in this role. Excellent organizational and time\-management skills with the ability to prioritize multiple tasks in a fast\-paced environment. Exceptional written and verbal communication skills. Professional, polished, and customer\-service oriented. Demonstrated flexibility, initiative, and the ability to adapt to changing priorities. Ability to maintain confidentiality and exercise sound judgment. Technical Skills Candidates should demonstrate proficiency with: Microsoft Office Suite (Word, Excel, PowerPoint) Google Workspace (Docs, Sheets, Drive, Calendar) Canva Website content management systems (WordPress experience is a plus) Google Forms and Google Drive Zoom and other virtual meeting platforms Strong comfort learning and utilizing new technology and educational software Preferred Qualifications Experience working in an independent or private school. Experience supporting school leadership or executive administration. Knowledge of admissions processes or enrollment management. Familiarity with educational technology platforms and student information systems. Experience planning school events and coordinating volunteers. Strong graphic design and communications skills.
