Departmental Overview The Center for Student Conduct (CSC) is a department that reports to the Associate Dean of Students in the Associate Vice Chancellor and Dean of Students Office within the Division of Student Affairs. The CSC is the campus office charged with administering the Berkeley Campus Code of Student Conduct. The office contributes to the holistic development of students by administering the student conduct process in a manner through equitable practices that promote education, foster a sense of accountability, and encourage community responsibility and mutual respect. It is responsible for a number of functions and programs that have a direct impact across the Berkeley campus and in the larger community. Position Summary The Administrative Assistant serves as the first point of contact for faculty, staff, and students seeking assistance from the Center for Student Conduct (CSC). This position supports UC Berkeley community members and the public who are potentially navigating challenging experiences related to allegations of student misconduct through respectful and sensitive service. Responsibilities 50% Manages all telephone calls and in\-person inquiries. Clearly explains the student conduct process to students, staff, faculty, and members of the public to deliver service and support that is responsive to needs and exceeds expectations. Diffuses emotionally charged inquiries and uses discernment to escalate concerns presented by students, advisors, staff, faculty and members of the public to appropriate staff members. Operates as the primary liaison to internal and external campus partners for all administrative support, including communicating with faculty, administration, students, community members and staff. Assesses urgency of matters, gathers pertinent information, and notifies appropriate staff in a timely manner, which may include referrals to other campus partners. Learns and utilizes in\-depth knowledge of campus resources to best answer questions and concerns. 25% Manages sensitive and confidential information, most of which is protected by the Family Educational Rights and Privacy Act (FERPA). Maintains online file databases, ensuring files are consistent with record retention practices and easily accessible to other team members. Develops and implements efficient and effective systems for data entry and database record management. Processing case documentation including reflective writing assignments, fines, and other sanctions submitted by students and Registered Student Organizations. Processes reports, including referrals from campus partners (e.g., faculty, residential life) and the University of California, Police Department reports into Center for Student Conduct (CSC) incident reports. Performs background checks as requested by outside agencies or campus partners and supports responses to subpoenas. Updates and assists with the maintenance of centralized confidential records and database of incidents on an on\-going basis, generating regular tracking reports. 10% Maintains the office master calendar; performs administrative tasks, including but not limited to, photocopying, filing, fax/mailing, preparing presentations, drafting correspondence, memos, reports; assisting with event coordination and managing materials for the staff. Maintains and organizes inventory for all supplies. Supports conference registration, travel arrangements, process purchase and reimbursement requests along with required documentation. 10% May provide limited administrative support to other offices within the Dean of Students portfolio. 5% When the CSC employs Student Assistants, supports and delegates their tasks and general office projects assigned to them. Required Qualifications Ability to prioritize, exercise initiative, and demonstrate sound judgment, while effectively executing numerous tasks in a high\-pressure, fast\-paced environment. Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications such as MS office suite applications, including Word, Excel, and PowerPoint. Requires good verbal and written communication skills, active listening, critical thinking, multi\-task and time management skills. Ability to maintain confidentiality and security of student records following confidentiality rules established by FERPA, the State of California and the University, and/or the ability to learn. High level of organizational skills and attention to detail. Experience in working in a high volume transaction environment. Ability to handle frequent interruptions and still meet multiple deadlines. Strong interpersonal skills with the ability to communicate with a diverse population. Demonstrated ability to work both independently and as part of a team. Ability to research and resolve problems independently. Ability to adapt to changing environment, priorities, and procedures. Ability to learn new software quickly, data entry skills with attention to detail and accuracy. Self\-motivated, willingness to learn, and takes initiative to improve quality of service. Preferred Qualifications Experience working in a confidential university environment. Knowledge of UC policy and procedures, and/or the ability to learn. Knowledge of and ability to administer trauma\-informed care practices. Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions, including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The budgeted hourly range that the University reasonably expects to pay for this position is $30\.58 \- $36\.71\. This is a non\-exempt, bi\-weekly paid position. This is a full\-time (40 hours/week) Career position eligible for UC benefits.
