Elmira College is a private liberal arts College located in the Finger Lakes region of New York. Elmira College was the first college to offer a comprehensive curriculum for women, and is home of the Center for Mark Twain Studies. We are seeking an Administrative Assistant to join the Facilities team. The Administrative Assistant acts as an initial contact for the Facilities Management division and performs administrative support such as clerical duties and data entry for the Facilities Management division. An Administrative Assistant primarily performs specialized and routine tasks of a support nature requiring knowledge of several departments, department activities, policies, and general office processes and procedures. Work performed is within general office parameters. ESSENTIAL FUNCTIONS Maintaining heavy, complex, and frequently changing calendars and coordinating meetings. Coordinating all aspects of appointments, meetings, and conference calls. Maintains and disburses work orders from the work order system, along with following up with staff and the Director of Facility operations. Using and assisting staff with Facilities Management software. Creating and modifying presentations, spreadsheets, and other various documents. Compiling and maintaining databases. Vendor management: Requesting proposals or modifications in work from contractors or vendors. Maintaining all lease agreements with tenants that reside in campus owned properties (other than dormitories) Liaison for Facilities Management to other departments, in addition to Local and State Agencies Parts ordering for the Facilities Management Division Coding for all billing and statements for the Facilities Management Division Performing other duties as assigned by the Director of Facility Operations QUALIFICATIONS 12 months related experience preferred High school diploma or GED Customer service experience/skills Excellent communication skills Leadership and organizational skills Ability to perform duties and meet deadlines independently without direct oversight Ability to work efficiently under pressure Ability to maintain confidentiality with sensitive information WORK LOCATION: On\-site COMPENSATION: $18\-20 an hour This position is benefit eligible.
